Our group of fast-paced healthcare and health technology companies are looking for a new Executive Assistant to support our executive team. You will manage mostly business-related tasks for the team such as creating reports, organizing meetings and process management, taking minutes, and other organizational tasks. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, CRM, Quickbooks Online experience and be extremely fast at solving problems and have experience as an executive or administration assistant in the past.
**Executive Assistant Responsibilities**:

- Handling basic bookkeeping tasks.
- Filing and retrieving corporate records, documents, and reports.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Helping prepare for meetings.
- Accurately recording minutes from meetings.
- Using Outlook and Hubspot CRM to coordinate meetings, follow-ups and actively qualifying and filtering prospects to decide if they should be able to meet with executives.
- Using various software, including word processing, spreadsheets, databases, basic graphic design and presentation software.
- Identifying grant, subsidy and research opportunities and preparing a draft submission packages for executives
- Making travel arrangements for executives.
- Performing office duties that include ordering supplies and managing a records database.
- Experience as a virtual assistant.
- Provide general administrative support.

**Executive Assistant Requirements**:

- Proven experience as an executive assistant or other relevant administrative support experience.
- In-depth understanding of the entire MS Office suite, CRM usage, Quickbooks or equivalent basic bookkeeping principles
- High school diploma.
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast-paced quickly changing environment.
- Accountable and ability to maintain high productivity with no or mínimal supervision.
- A a proactive approach to problem-solving with strong decision-making skills.
- Professional level verbal and written communications skills.
- Holds high ethics and moral principles.
- Trustworthy and ability to maintain high levels of confidentiality.
- Sales and cold calling experience is an asset.
- Grant writing experience is an asset.
- Experience in creating visually appealing documents/marketing material.
- Experience in PR, marketing and graphic design /video editing and creation is also an asset.
- Open to travel when required.

**Salary**: $44,911.00-$55,000.00 per year
