Racquets Administrative Assistant

The Oakville Club, established in 1907, is a multi-sport, social and family oriented Members Club, tucked away on Sixteen Mile Creek, in the heart of downtown Oakville. The Club has become a primary source of community connections for our Members through camaraderie and lifelong friendships.
**Position Summary**
The Racquets Administrative Assistant will perform his/her duties to help ensure the overall operation and management of the Racquets Department runs efficiently and productively to exceed member expectations. The incumbent is expected to provide administrative support to the Racquets Professionals and monitor usage of the racquets facilities. Duties and responsibilities include:

- Providing assistance to members in a courteous and professional manner
- Assist with racquet billings, including lessons, programs and events, prizes, etc.
- Assist with the registration and execution of all racquet events, programs and socials to ensure everything runs smoothly
- Ensure that staff are informed about upcoming events or information members may request to ensure all staff is helpful to members
- Assist members with booking lessons, answer questions and greet members in a friendly and outgoing manner
- Maintain an accurate record of all lessons and clinics to ensure timely billings to members
- Assist with ensuring courts are properly booked in accordance with the house rules
- Assist Racquet Professionals with providing ongoing communication with members on relevant information within the racquet area. This could include changes in schedules, court closures, upcoming events and programs, league results, member accomplishments, etc.
- Understand and assist with enforcing Club racquet policies and procedures regarding play and court etiquette.
- Promotes all racquet special events, related marketing and promotions
- Perform any additional task as specified by the Head Racquets Professional
**Qualifications**
- Participation and/or strong understanding of racquet sports, particularly tennis
- Post-Secondary education is a related field is an asset and preferred
- Minimum 2 years’ experience in an administrative position, preferably in a private club or recreation facility
- Strong administrative and organizational skills, excellent interpersonal skills
- Highly proficient in Microsoft Office (Word, Excel and Outlook) and Jonas software, an asset
- Able to work shifts - days, evenings, weekends, and statutory holidays
- Well groomed, mannerly, co-operative and outwardly friendly
- Trained in First Aid, CPR, Defibrillator and WHIMIS
- Willingness and ability to work cooperatively with the team in achieving the goals of the Club
