We are currently looking for an Office Assistant. The ideal person for the job will have excellent communication skills, the ability to multi-task and prioritize multiple and competing demands. Demonstrated ability to anticipate issues and effectively solve problems, is a key asset

**Key duties will include**:

- Manage calendar and schedule/reschedule all meetings and appointments as required. Calendar management, prioritize inquiries and requests; meeting preparation and follow-up actions, decisions, and resolutions; make judgements and recommendations to ensure best use of time.
- Answer and redirect calls; take messages where possible
- Meeting and greeting clients
- Outbound calls for collection of Accounts Receivables. Process all invoices received for payment.
- Meeting preparation including preparation of reports and correspondence.
- General administrative duties (e.g., taking detailed notes, preparing meeting materials) and special projects with constantly moving priorities.
- General administration of paperwork, can include dating forms, sorting/organizing documents, ensuring all in is taken care of in a timely manner; Courier and mail administration;
- Data entry and general administration such as filing, photocopying, scanning
- Ordering office and kitchen supplies
- Kitchen duties such as loading/unloading the dishwasher, keeping it clean/tidy
- Other duties as assigned. Any other administrative or clerical tasks as required

**Qualifications**
- Must have access to a vehicle and valid Canadian driver's license.
- Ability to work in a fast-paced environment
- 2+ years experience in demanding administrative positions supporting multiple individuals and involving considerable executive exposure.
- Strong written, verbal, and interpersonal communication skills, with the ability to exercise diplomacy and influence in challenging situations
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Highly resourceful team player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion
- Excellent computer literacy and MS Office Suite experience
- Be available for flexible with hours, including evening and weekend support, mainly in busy season.

**Job Types**: Full-time, Permanent

**Salary**: $40,000.00-$45,000.00 per year
