This position is integral to the success of the Office Services team, and to CAAT’s guiding mission and growth strategy.
You will work as a part of the highly collaborative Office Services team with a One Team approach. This position is the face of CAAT, and you will create an outstanding impression with every interaction. You will provide general administration and reception service with a focus on providing excellent customer service to our internal staff and guest visitors. This role is required to work in the office 5 days a week.
**We are looking for someone with**:
- College diploma in Office Administration or equivalent experience.
- Five (5) or more years of progressive office support experience (administrative, customer service and reception experience in a front-line setting)
- Fluency in French language skills or willingness to learn is required.
- Intermediate to advanced knowledge of Microsoft Office programs including Word, Excel, and Outlook. Experience with SharePoint would be an asset.
- Excellent verbal and written communication skills with the natural ability to build instant connections.
- A professional image with a warm positive demeanour.
- Strong time management and attention to detail ability, be well organized, and prioritize tasks accordingly.
- Creativity, accountability, and initiative.
**Once here you will**:
**Manage duties related to reception area**:
- Greet external visitors and log in using the registration system, issue security badges and follow all safety and security protocols
- Respond to telephone inquiries through our softphone system and utilizing channels of communication such as electronic platforms (Microsoft TEAMS)
- Coordinate and make recommendations on all courier services to meet needs of staff. Reconcile waybills with invoices and manage, sort, and distribute all incoming mail including identifying items that require urgent action.
**Provide Administrative support**:
- Manage all large and small corporate catering requests; maintain complete. documentation for catering and staff events, visitor, and courier logs, purchasing and invoicing, procedures manuals, etc.
- Assist with creating and posting communications on our internal digital signage (CAAT TV) and the department’s SharePoint Page.
- Contribute to developing, planning, and executing department and corporate event/activity ideas that reflect the organizations culture.
