**Position Purpose**

Reporting to the Director of Development, the Events Officer is responsible for conceptualizing, developing, planning, implementation and management of key fundraising events to generate annual revenues in support of The Mission.
He/She is responsible for signature events (i.e., the Blue Door Gala & Coldest Night of the Year, etc.) as well as other community events including peer to peer and third party fundraisers. In this role, The Events Officer engages with key community builders as committee members, event organizers, and volunteers to support fundraising efforts. As a passionate ambassador for The Mission, the Events Officer also supports other departments in organizing and delivering friend-raising events to build key stakeholder engagement.

**Major Responsibilities**

**Peer to Peer/Community Engagement**
- Achieving and exceeding fundraising targets
- Implementing best practices in peer to peer fundraising to increase participation and event revenue
- Inspiring, motivating and stewarding a portfolio of fundraisers (P2P)
- Identifying and developing strategic key accounts to optimize event participation
- Balancing prospecting and new account recruitment with key account stewardship and development
- Working with the Digital Marketing Specialist to plan social marketing strategies to increase P2P engagement
- Conducting tours of The Ottawa Mission for interested community members, donors and volunteers
- Acting as a key manager of the peer to peer platform to ensure reports, receipts, and best practices are in place

**Event Planning and Promotion**
- Produce detailed proposals for events (i.e. timelines, venues, suppliers, legal obligations, staffing, budgets, etc.)
- Develop and manage event budgets
- Create procedures for all major processes
- Administers events and activities in accordance with the policies, strategies, and mission of The Mission
- Plans and coordinates event-related services and general event logistics, including but not limited to: o Facilities/amenities o Reservations o Signage o Displays o Special needs requests and requirements o Event security o Marketing and publicity o Event-related materials (e.g. handouts, giveaways)
- Develops and manages event organizational structure and procedures, motivation of volunteers, community relations, services and promotion
- Coordinates contract negotiations with venues, service providers and suppliers, final approval authority of all contracts is provided by the Director of Development
- Manager for signature events to lead and delegate roles for front fundraiser’s and donor relations staff

**Event Execution**
- With support from the development team, recruits event committee chairs and coordinates volunteers for designated events and programs
- Maintains direct, regular contact with personnel for the various outside organizations
- Prepares and sends timely communications such as save-the-date notices and invitations and works with media and marketing vendors to develop advertising materials and marketing plans
- Creates all media plans and acts as lead with Media for TV, Radio booking all interviews
- Attends all events and acts as the key contact to ensure success

**Event Follow Up**
- Prepares timely thank you notes to speakers, sponsors, and key volunteers after events
- Conducts post-event evaluations and debriefs to determine how future events can be improved
- Creates all sponsorship thank-you proposals

**Finances and Revenue Generation**
- In collaboration with the Director of Development, establishes annual revenue goals
- Identifies new event opportunities including signature events, “charity of choice” and other community events to grow events revenue portfolio
- Monitors expenses with respect to budget

**Other Requirements**

**Education**
- University or college degree

**Experience**
- Minimum of 5 years of progressive, direct work experience in fundraising events in a non-profit, community organization

**Qualifications**
- Strong written and oral communication skills in order to successfully interact with stakeholders, including but not limited to, volunteers and donors
- An understanding of 3rd party community events, special campaigns and events based fundraising
- Customer-service focused, collaborative, and strong interpersonal skills
- Ability to work in a team environment
- A self-starter attitude and the ability to take initiative to independently problem solve
