_allsaints _is on the hunt for an exceptional event coordinator to join our team. Housed in a repurposed church in the heart of Sandy Hill, we are a busy and growing multi-space venue with restaurant, terrace, on-site bakery, private dining room and 300 person event space.

We are looking for an event coordinator with a minimum of 5 years experience in events and office management to lead the execution of our diverse range of events and clients - you should be as comfortable dealing with brides as CEOs and strive to provide exceptional service to both. Bilingualism is a big asset, and attention to detail is paramount.

The role includes daytimes, evenings, and weekends as required and you should have the flexibility to adjust accordingly.

**Event Coordinator**

Compensation: $50,000 - $55,000 per year plus percentage of Food & Beverage service fee

Working Arrangements: On-site full-time 5 days per week. Flexibility required in order to be the initial point of contact for events

**Roles and Responsibilities**

Client Management:

- Act as main point of contact with clients for all aspects of event

planning, with target response time of 24 hours for all communications
- Manage electronic and paper files for all clients, ensuring accurate, up-to-date records at all times
- Support event office with post-event invoicing and follow-up

Event Coordination:

- Develop detailed event orders for all events at least two weeks in

advance, to ensure that all staff have complete information for events and that they are properly resourced
- Prepare menu cards, event signage, and other print materials
- Liaise with Bar Supervisor to ensure bar is fully stocked and liquor is ordered in timely fashion
- Place orders for linens, AV, and other event supplies; ensure that correct orders are received and ready for day-of-event
- Verify that all requirements for events are communicated toExecutive Chef, and Front-of-House Manager at least two weeks prior to event through weekly meetings

On-Site Management:

- Guide the timely set up, take down of event spaces, to meet client expectations for event spaces
- Manage staff for set up, take down and execution of all events
- Ensuring all small details are attended to, including room setup, cleanliness, signage, timelines, etc.
- Act as main point of contact for clients on event days, and ensure seamless handover to event staff when appropriate
- Ensure that event processes are set and maintained, so that event spaces are always staged and appropriately set for tours

Additional Office Duties:

- Manage event staff schedule
- Handle liquor reconciliation for events
- Invoicing through Quickbooks
- Producing ageing summaries
- Manage office and ensure phones are answered
- Order office supplies as needed

**Salary**: $50,000.00-$55,000.00 per year

Schedule:

- Monday to Friday
- Weekend availability
