Achev is looking for an Administrative Assistant for the Skilled Newcomer Incentive Bond (SNIB) pilot project. This project will test an innovative approach to addressing employment barriers faced by skilled newcomers in order to improve their labour market integration. Through this project, employers will be presented with a hiring bond to test if it incentivizes them (the employers) to hire, train and provide work experience for skilled newcomers in their field of study and professional experience, and to retain them.

The Administrative Assistant will provide outstanding customer service to clients and administrative support to the team, including registration assistance, data collection, report writing, and liaising between clients, employers, and staff. In addition, they will support the team with event management.

This role is hybrid at this time, working a minimum of 2 days in office.

**DUTIES & RESPONSIBILITIES**:

- Register eligible clients for cohorts and organize client questionnaires and evaluations as well assist with workshop setup
- Assist with outreach and marketing plan implementation and execution, including job fairs or other events
- Assist clients by providing general information and referral to other programs at Achev and/or community partners
- Provide enthusiastic and courteous service to clients, employers, and other stakeholders
- Assist with the implementation and execution of the outreach and marketing plan, workshop set-up, and representation at job fairs and other events.
- Communicate with project stakeholders, internal/external community partners, and guest speakers as required
- Book and record virtual meetings via Zoom and other virtual platforms, including the organization and maintenance of meeting-related files.
- Input and update client information in the Achev database/cloud filing system
- Assist in generating statistical reports for internal and external reporting purposes
- Track renewal of subscription-based software and distribution of honoraria payments for guest speakers
- Contribute to team cohesiveness and teambuilding.
- Assist the Manager with inventory and service acquisitions as per Achev’s procurement policy and protocols.
- Escalate issues to the Manager in a timely manner, anticipate and mitigate roadblocks impacting project deliverables
- Perform a variety of clerical duties including photocopying, confidential record keeping, and document distribution in accordance with company policies and procedures
- Other duties as assigned

**QUALIFICATIONS**:

- College Diploma in Administration, Business, Social Services or equivalent
- Minimum 2+ years of administrative assistant or equivalent experience in a fast-paced professional environment
- Not-for-profit or settlement sector experience is an asset
- Strong oral and written communication and presentation skills, combined with tact and diplomacy
- Demonstrated ability to work autonomously and establish and maintain effective and cooperative working relationships with clients, team members, employers, and community partners.
- Strong organizational skills that reflect the ability to perform and prioritize multiple competing tasks seamlessly and with excellent attention to detail, while being committed to the highest level of client service delivery
- Excellent technology skills (MS Office Suite, Zoom, Canva, Google Suite, DocuSign, Adobe Acrobat, SurveyMonkey, etc.) and aptitude to learn new technologies autonomously
- Proven ability to act professionally and maintain confidentiality, ensuring sensitivity to the needs and interests of project stakeholders
- Demonstrated ability to achieve high-performing goals and meet deadlines in a fast-paced environment
