WHAT TO EXPECT
As an Administrative Officer, you will contribute to the administrative and operational support for the different departments of the Soucy Belgen Sainte-Claire subsidiary.
**Here's an overview of your tasks**:
Validate the conformity of invoices and expense accounts received according to established agreements
Obtain the necessary authorizations to prepare payments
Prepare cheques and bank transfers according to payment agreements
Follow up credit card payments and ensure compliance of invoices with transactions.
Continuously update supplier files
Reconcile invoices payable with statements of account and follow up with suppliers to obtain missing information
Participate in the preparation of month-end and year-end files
Answer and redirect telephone calls
Go to the post office
Prepare and make bank deposits
Enter and code invoices for payment
Ensure compliance of supporting documents, including obtaining appropriate authorizations;
File paper and digital invoices and vouchers.
File receiving slips
Match receipt slips with invoices
Communicate with suppliers regarding banking information, tax numbers, payment requests and discrepancies.
Organize and maintain physical and electronic documentation
Ensure compliance with financial regulations and internal controls
Provide clerical support to other departments
WHAT WE’RE LOOKING FOR
DEP in accounting or accounts payable experience
Proficiency in Office suite, mainly Word, Excel and Powerpoint
Attention to detail and excellent organizational skills
Analytical and problem-solving skills, with a proactive approach
Manage priorities
Excellent customer service, both internal and external
Strong sense of responsibility, attention to detail and attention to detail
Technologically savvy
Knowledge of an ERP system (asset)
Excellent French (written and spoken)
