**Résumé**:
Nous sommes à la recherche d’un adjoint ou d’une adjointe de direction qui offrira un soutien administratif et opérationnel de haut niveau au bureau du président et chef de la direction. La personne retenue devra également gérer le flux d’information et les documents afin d’assurer le fonctionnement professionnel et efficace du bureau du président et chef de la direction. Il s’agit d’un emploi régulier à temps plein offert selon un mode de travail hybride au sein de notre bureau d’adMare BioInnovations à Vancouver.
**Responsabilités du poste**:
Bureau du président et chef de la direction:
- Gérer l’agenda du président et chef de la direction, ce qui consiste à établir la priorité des projets, à planifier les réunions, à trouver des lieux appropriés pour les événements, à préparer les documents pour les réunions et à veiller à ce que le président et chef de la direction suive son horaire et soit bien organisé tout au long de la journée.
- Coordonner les préparatifs de voyage et préparer les itinéraires de voyage et les ordres du jour des réunions pour le président et chef de la direction ou pour d’autres personnes, le cas échéant.
- Préparer ou rédiger une variété de correspondance confidentielle, de rapports et de documents de présentation.
- Gérer les coordonnées des contacts du président et chef de la direction, et veiller à ce que l’information soit ajoutée aux listes de distribution de l’entreprise.
- Organiser les multiples facettes des événements et réunions. Cela comprend la gestion des budgets, l’organisation et la configuration des espaces de réunion, ainsi que la coordination des services de traiteur et des services audiovisuels.
- Assister aux réunions lorsque cela est nécessaire afin de rédiger les procès-verbaux, et les distribuer.
- Assurer la liaison avec différentes personnes, tant à l’interne qu’à l’externe, et ce à tous les niveaux de l’organisation et en offrant un service à la clientèle de niveau supérieur.
- Traiter les demandes de remboursement des dépenses, principalement pour le président et chef de la direction, et assurer le rapprochement des relevés de cartes de crédit de l’entreprise.
- Assurer la liaison avec l’équipe des communications afin de diffuser les communiqués du président et chef de la direction à l’intention de destinataires comme le gouvernement, les intervenants et la communauté.
- Gérer les appels téléphoniques, ce qui comprendra le filtrage et l’établissement de la priorité des appels téléphoniques.
- Contribuer à la préparation des documents pour les réunions du conseil d’administration.
- Gérer d’autres tâches administratives liées à l’entreprise et aux personnes peut être nécessaire.
- Effectuer des tâches ponctuelles et des projets spéciaux selon les besoins.
Conseil d’administration:
- Organiser et coordonner les réunions du conseil d’administration et des comités, et gérer et soutenir le portail en ligne du conseil d’administration.
- Aider à la préparation et à la coordination des documents liés aux réunions du conseil d’administration, et gérer le flux d’information.
