**Dispatch Administrator**

PURPOSE:
To coordinate various office tasks and functions to ensure the dispatch operations run smoothly at all times and support the dispatch team in all BCMEA initiatives as we work towards our strategic imperatives.

This role is 100% on-site. Working hours are Monday - Friday from 6:30am-3:30pm.

RESPONSIBILITIES AND ACTIVITIES:

- Administer the BCMEA HRIS systems and maintain updated dispatch information including but not limited to move slips, ratings, medical exemptions etc.
- Issue and maintain the Port Pass system for longshore workers throughout B.C. in accordance with all Transport Canada regulations, some travel may be required
- Regularly update security clearances for longshore workers throughout B.C. in accordance with regulations
- Respond to various queries regarding port passes and security clearances
- Order and track office supplies
- Create ad hoc reports as requested by the Director / Manager
- As directed, dispatch Lines, First Aid and/or Checkers workers
- Maintain a productive/business like relationship with Union Business Agents, Labour and Foremen
- Provide admin support to dispatch staff
- Provide excellent customer service to internal and external customers
- Work closely with other dispatchers in a team environment
- Provide on-going input/feedback on processes, program requirements to improve the efficiency of office administrative systems and task workflow
- Work closely with the Dispatch team as a resource on various projects and initiatives
- Perform all job functions with strict adherence to all BCMEA policies and procedures
- At all times maintain strict confidentiality on all issues/information flowing through the dispatch centre
- Report any updates or pertinent issues that need addressing to the Supervisor and Director as required
- As a BCMEA representative attend various 3rd party functions, such as, but not limited to, transportation club meetings, educational seminars etc.
- Perform other duties as assigned

KNOWLEDGE, SKILLS & ABILITIES:

- Excellent written, verbal, and interpersonal communication skills.
- Experience in interacting effectively with people at all levels of the organization
- Strong working knowledge of Microsoft Word and Excel programs
- Results oriented with an ability to work well under pressure and without supervision
- Experience working in a computerized environment with an aptitude to learn
- Professional and pleasant telephone manner
- Minimum 3 years experience in a heavily unionized work environment
- Demonstrate a strong alignment to customer service at all times

**Salary**: From $55,000.00 per year
