Administrative Assistant

**Summary**:
A major function of this position is to assist management in administering human resources activity. Also responsible to generate and maintain hourly-based payroll file for contingent labor. Responsible for maintaining and auditing employee attendance records. Responsible for preparing and analyzing month-end reports needed by management. Accountable for purchasing invoices to ensure they match with packing slips, then send them to Corporate for payment. Assist in weekly-monthly events and benefits.
**Essential Duties and Responsibilities**:
- Plans and conducts new employee orientation to foster positive attitude toward company goals.
- Responds to and assists Production Supervisors and Managers on inquiries regarding policies, procedures, and programs.
- Ensure tracking and correspondence to employees on vacation, sick leave, leave of absence, worker’s compensation, and employee assistance program (EAP).
- Tracks and ensures employees have access to the steel toed shoe ordering system
- Works with HRBP to prepare employee separation notices and related documentation and conducts exit interviews to determine reasons behind separations.
- Prepares reports and works with HRBP on recommendations to reduce absenteeism and turnover.
- Track hourly employee performance management system (disciplinary action program) within the Corrective Action CSV Tracking Tool
- Work with management personnel to identify and coordinate training needs, develop/source and implement training programs to meet needs.
- Coordinate and assists management in facilitating the monthly all employee meetings.
- Compiles, copies, sorts, and files records of office activities, business transactions, and other activities. Verifies packing slips with invoices, codes invoices for approval, enters data into PO spreadsheet, and files copies.
- Maintains electronic cost tracking file and ensures no transactions occur without being added to the transaction log. Verifies all invoices sent to corporate accounting for payment have been logged appropriately.
- Maintains electronic labor tracking system daily to insure all direct, indirect and contract labor hours and costs have been accurately recorded.
- Track and maintain material inventory records to ensure monthly usage of paints is accurate and recorded.
- Maintain all chemical inventories are accurate within the CIMS system. Monitor all CIMS requests to ensure timely addition of requests into database.
- Publish, post and track all line-of-sight metrics within the facility.
- Operates office machines, such as photocopier, facsimile, and personal computer.
- Orders materials, supplies, and services, and completes records and reports.
- Answers telephone, responds to requests, deliver messages, and runs errands. Distributes mail and payroll checks.
- Communicates with customers, employees, and other individuals to disseminate or explain information.
- Orders birthday cards and assists in setting up lunches and assists with all company sponsored events.
- Other duties as assigned.
