**Position Description**:

This position supports a diverse range of activities within the Schizophrenia in-patient units. It serves as a liaison with hospital employees, physicians, outside agencies, and ensures all administrative support activities for in-patient units, Nurse Manager, physicians, Head of Service, are coordinated with efficacy, professionalism, and confidentiality_. _

**QUALIFICATIONS**:

- Completion of a 2 year post-secondary Diploma in medical office administration required
- Medical terminology certificate preferred
- Certificates of completion for ongoing computer training
- RMA billing authorized
- Minimum two years related experience working within a busy Mental Health program, with demonstrated knowledge of legislation and professional practice standards relevant to patient confidentiality and release of information, including psychological test data
- Proficiency in accessing Electronic Medical Records, use of Dovetale software
- Demonstrated proficiency in scheduling and data entry
- Intermediate skill level required for typing, spelling, medical spelling and medical terminology
- Excellent organizational and problem-solving skills, with ability to set own priorities and work with mínimal supervision while maintaining a positive customer service attitude
- Must be able to identify priorities and manage deadlines, identify, mitigate and communicate any barriers to the manager
- Maintain excellent interpersonal relationships while handling multiple tasks, conflicting priorities and frequent interruptions
- **_ _**Ability to communicate in a sensitive and non-judgmental manner with psychiatric patients
- Superior oral and written communication skills with demonstrated grammatical aptitude and punctuation
- Good attendance and work record is essential

**RESPONSIBILITIES**:
Some responsibilities include the following:
- Provides administrative support by typing routine correspondence and specialized documents, distributing mail, faxing, photocopying, and administrative filing
- Processes legal forms for physicians in compliance with Mental Health Act, maintaining accurate system to record when they are due to expire. Assists in compiling data and filling out forms for Community Treatment Orders and CCB hearings
- Entering weekly data for blood tests results for Clozapine patients, monitoring alerts and notifying physician and unit staff as necessary
- Communicating with Head of Service, maintaining calendar, appointments and other duties as needed
- Co-ordinates events such as department education, setting up location and agenda, participant enrollment and contacting guest speakers. Ensures all office supplies, housekeeping and maintenance requests are requisitioned in a timely manner
- Provides administrative coverage throughout the department and performs duties as assigned by Manager
- Updates staff schedules, records staff attendance as per established guidelines and completes staff payroll sheets and overtime submissions for the Manager’s approval
- Supports effective communication and liaison between the Manager and all team members
- Manages and assigns student keys, and personal alarms
- All other duties as assigned

Monday-Friday; Days

**WAGE RATE**
Hourly: $26.37......$27.51......$28.63
