**Executive Assistant/Administrative Coordinator**
The team at Saanich Peninsula Hospital and Healthcare Foundation is growing We are currently seeking a full-time Executive Assistant/Administrative Coordinator. This position, which reports to and supports the CEO, is responsible for performing a variety of administrative tasks to aide the smooth running of the office and contribute to donor satisfaction. As a lateral partner role, this position collaborates and coordinates regularly with other team members, hospital staff and leadership.

The Foundation’s mission is to provide up-to-date facilities, innovative programs, and proactive solutions, to support the health, wellness, and sustainability of the Saanich Peninsula and the Southern Gulf Island communities, through the outcome of internal & external fundraising activities and events. Our goals include inspiring our community of donors, modernizing facilities, extending the reach of healthcare, and engaging progressive leadership.
- Related administrative experience, ideally with a not-for-profit or healthcare organization, supporting an Executive
- Takes direction well and collects all information in order to complete a task
- Ability to understand, analyze, and work with numbers
- Proficiency in Office 365, specifically Word, Excel, Outlook and Teams
- Comfort and competency navigating a Customer Relation Management (CRM) system (e.g. DonorPerfect, Raiser’s Edge)
- Organized and works well within processes, policies and guidelines
- Exceptional attention to detail with a high degree of accuracy - when crafting or proofreading communications, documents, etc. as well as when entering data
- Excellent written and verbal communication skills
- Confidence in troubleshooting when faced with challenges
- Service-oriented and has a can-do attitude
- Must have a reliable source of transportation
- Flexibility and adaptability to dive into duties as assigned
**Must have an interest, experience and proficiency in**:
- Providing administrative support to senior leadership and forecasting needs
- Supporting a Board by preparing agendas and taking minutes
- Booking meetings and managing the calendar of the CEO
- Researching topics, gathering information and preparing reports

**Education**:
- Minimum Grade 12 completion with supplemental post-secondary courses in related areas

The Saanich Peninsula Hospital and Healthcare Foundation offers a competitive compensation package, including health, dental and municipal pension.
**Salary range based on experience**: $28.21 - $30.77 per hour
**Hours and Schedule** - This position has 2 options available for a set work-week schedule:
1. Part-time at 27.5 hours per week: M-F, 9 am - 3 pm, or
2. Full-time at 37.5 hours per week: M-F, 8:30 am - 4:30 pm
(start and finish times can be flexible during core business hours based on a conversation and approval of CEO and team need)
We offer a hybrid work environment, where work is conducted at our two Peninsula offices (80% between our hospital & Sidney offices), up to 20% remote work from home, based on CEO approval and team need. Foundation events and activities require some degree of flexibility, including occasional evening and weekend work.
Reports to the CEO.
