**The Position**

**Responsibilities**

Patient Interaction:

- Greet and screen patients upon arrival.
- Follow up with patients regarding appointments and queries.
- Schedule initial and follow-up appointments.
- Provide patients with information and assistance as needed.

Administrative Duties:

- Edit, update, and manage clinic documents, appointments, and databases.
- Process payments and manage surgical charts.
- Ensure safety and sanitization protocols are strictly followed.
- Order office and clinic supplies.
- Send referrals and organize lab results.
- Work closely with Dynacare and LifeLabs to coordinate lab work.
- Maintain confidentiality of patients and staff at all times.
- Update EMR with Staffing assignments

Clinic Operating Room Schedule:

- Schedule, coordinate, and confirm patient appointments, consultations, and follow-ups.
- In conjunction with Nursing Director, Schedule, coordinate, and confirm surgeons' bookings of the operating rooms.
- Track patient appointments and surgeons' operating room (OR) bookings using the Telus CHR scheduling software.
- Use judgment to reschedule or book appointments and OR bookings according to changing priorities.
- Schedule, coordinate, and confirm patient anesthetic consults and follow-ups based on anesthesiologists' availability.
- Work closely with anesthesiologists, patients, surgeons, and staff.
- Post, share, and update staff schedules and clinic schedules on different platforms.

Additional Duties
- Perform other duties as required to support the clinic's operations.

**Education and Experience**
- Minimum Education: High School Diploma or equivalent.
- At least 5 years of previous experience in a similar role.

- Ability to work independently and as part of a team.
- High degree of customer service orientation.
- Ability to handle problems with a positive attitude.
- Thrive in a dynamic and changing environment.
- Strong attention to detail and ability to meet customer expectations.

**Work Hours**
- Monday to Friday: 6:00 a.m. - 6:00 p.m., with 8-hour shifts
- Saturday availability required, with 8-hour shifts
- Shifts may vary from morning, afternoon, and evening based on requirements.
