**Position Description**:
Temporary assignment - approximately 52 weeks
**JOB SUMMARY**:
The Executive Coordinator, Research Institute is responsible for planning, organizing, monitoring and reporting key initiatives and emerging issues at an executive level in a confidential and professional manner. The Executive Coordinator is accountable to ensuring that the VPR and ED have all necessary information for decision making across their portfolio. These projects and the related reporting may include the other St. Joseph’s Health System member organizations and external stakeholders. The position physically resides at St. Joseph’s Healthcare in Hamilton, Charlton Campus. This role will also provide support to other Research Administration Team members as required.
**QUALIFICATIONS**:
- Undergraduate degree in Business Administration, Health Sciences or equivalent degree is required
- 5-7 years recent experience at a management level supervising multiple projects/initiative. Extensive experience managing a busy and complex office environment, delivering on deadlines and meeting established goals.
- Demonstrated excellence in verbal and written communication
- Ability to write reports and minutes summarizing complex discussions as required
- Ability to thrive in a high-pressure environment with good time management skills
- Effective problem-solving and critical thinking skills are essential and supported by a flexible and creative approach to resolving issues
- Effectively translate detail into verbal, written or graphical updates
- Advanced knowledge of the MS Office Suite of products is required including Word, PowerPoint, Access and Excel is required
- Senior skill level - keyboarding/typing is required
- Demonstrated ability to appreciate the confidential nature of the position
- Strong interpersonal and customer service skills; pleasant phone manner
- Demonstrated ability to take minutes; work on own initiatives; organize and set own priorities; develope systems which create efficient workflow; meet stringent project and task deadlines; and work effectively in a team environment.
**RESPONSIBILITIES**:
The role requires a high degree of attention to detail, political acuity and ability to prioritize information/tasks and manage diverse relationships. This is a high pressure, fast paced role in a dynamic environment with competing demands.
- Coordinating the VPR and ED’s highly complex schedules, allocating and prioritizing time to ensure that all deliverables and priorities are met.
- Daily review and analysis of internal and external documents and correspondence, including synthesizing key details, identifying required actions, highlighting potential risks and impacts for VPR and ED’s attention.
- Prioritize projects, requests, and reports based on urgency and importance in a dynamic environment where decisions made and directions given, at times in an urgent manner.
- Administer Research Board of Directors and Research Governance Committee schedules which includes preparing annual schedules, liaising with members for their upcoming availability, actively upkeep schedules that includes notification, preparing agendas and minutes.
- Arrange business travel itineraries, i.e., flights, accommodations, conference registrations, etc. as needed.
This role involves frequent communication with diverse stakeholders, which requires a high level of professionalism, judgment and ability to prioritize the concern.
- Frequent communication with internal and external stakeholders to ensure that the VPR and ED’s directions are clearly and effectively communicated.
- Responding to sensitive requests on daily basis related to reputational and organizational risk. Including being the first point of contact for Research Administration. All requests must be reviewed, assessed and addressed with the relevant internal RSJH members; this may include requesting relevant information within an immediate timeline.
- Experience in synthesizing discussions into action items, including drafting minutes and following up on action items/deliverables of team members.
