**Responsibilities**:

- Prepare and verify daily timesheets for Toronto field staff and verify hours/invoices of subcontractors weekly
- Complete onboarding/offboarding processes for Toronto/GTA region
- Provide support, as needed, to Vice President and Area Manager, including managing virtual calendars, as well as coordinating in-person/office meetings/luncheons
- Support Project Management team with project start-ups, monthly billings, weekly ongoing project list,
- Create purchase orders, submitting, matching and approving invoices
- Track, complete and submit expense reports for senior management staff and in-field workers, including fuel/parking reimbursement on a weekly basis
- Act as designated regional office’s ASCO, including completing security clearances through PWGSC for office and field staff
- Act as a member of the office Joint Health and Safety Committee (JHSC), including duties such as monthly office inspections and participate in monthly meetings with other JHSC members, reporting back to the Health and Safety Department
- Planning and coordination of office and team events, including team building events, holiday parties, staff appreciation events, etc.
- Maintain a central document filing strategy for both electronic and hard copies of all GTA essential/critical files
- Coordinate stock and replenishment of office supplies and keep inventory of company merchandise (i.e. distribution and tracking of company gear, safety wear, etc.)
- Coordinate travel accommodations, when required, for office and field workers
- Upkeep regular communications with office vendors, including car rental services, Purolator/shipping services, printer/paper maintenance/management, etc.
- General upkeep of office space

**Qualifications**:

- Knowledge of administrative and clerical procedures
- Excellent oral and written communication skills
- Ability to properly handle sensitive and confidential information
- Strong organizational skills with the ability to exercise independent judgement
- Ability to work well under pressure/work with multiple deadlines
- Experience in office administration considered an asset
- Post-secondary education considered an asset
- Bilingual/conversational knowledge of Spanish language considered an asset

**Job Types**: Full-time, Permanent

**Salary**: $45,000.00-$55,000.00 per year

- Monday to Friday
