**SCOPE OF POSITION**

Reporting to the Marketing Manager, the Events Coordinator is a key player in our team, managing various internal and external events from start to finish. This includes planning, coming up with creative ideas and solutions, and enabling the smooth execution of conferences, client dinners, seminars, internal training, team-building activities, technical short courses, and more.

Their role is not only about boosting our brand through successful events but also about supporting the growth of strong internal and external connections throughout our global offices. This position requires adaptability, organization, creativity, and the ability to oversee budgets, schedules, vendors, and on-site teams. Additionally, the Events Coordinator is responsible for ordering, shipping logistics, and inventory management of our promotional materials.

**ROLES, RESPONSIBILITIES AND EXPECTATIONS**
- Plan, organize, and execute a wide range of corporate events, including conferences, seminars, client dinners, internal Training Days, short courses, and others.
- Manage the end-to-end event coordination process, from initial concept to post-event evaluation.
- Coordinate event logistics, such as venue sourcing/selection, catering, audio-visual equipment, material shipping, and other event-related services.
- Take full ownership of ConeTec's participation in conferences, overseeing every aspect from sponsorship and exhibitor booth selection to payment, coordinating materials and SWAG, arranging shipping and delivery, securing attendee passes, managing hotel bookings, and handling all communications with the organizers.
- Maintain our group’s conference calendar and maintain regular, up-to-date communication with Regional Managers, proactively supporting their local event needs.
- Support HR with internal events, such as the 10K Run and ConeCamp (plus others).
- Research and procure promotional items, merchandise, and SWAG to enhance event experiences.
- Keep track of SWAG and marketing collateral inventory.
- Provide support to all our offices regarding SWAG ordering and delivery.
- Negotiate and manage vendor contracts, budgets, and expenses specifically related to items such as merchandise, SWAG, printed materials, etc.
- Develop and maintain event timelines, schedules, and task lists.
- Conduct post-event evaluations; solicit and collect feedback for continuous improvement.

**SKILLS, QUALIFICATIONS AND EXPERIENCE REQUIRED**
- 2+ years of proven work experience in event coordination
- A university degree or college diploma in Event Management, Marketing, Communications or a related field such as business administration.
- Experience in researching and purchasing promotional items and SWAG.
- Experience in B2B industries is a differential.
- Ability and willingness to travel domestically and internationally as/when needed.
- Creativity, adaptability, and a strong attention to detail.
- Exceptional organizational, problem-solving, and communication skills (verbal and written).
