Bolton, Canada LD Machine Works Limited Full time

Performs a variety of clerical and accounting activities to support our Inside Sales for a custom machine shop. Responsible for ensuring the smooth flow of information and follow up for existing and prospective customers.

**Duties and Responsibilities**

**Order Entry**
- Enter all work orders.
- Review all works orders entered against customer’s PO and/or Quotes to ensure accuracy
- Return order to sales rep for review.
- File all orders at sales rep’s desk by ship date.
- Expedite all orders to ship. Produce shipping documents, contact and follow up with couriers and freight companies.
- Make note of any date changes on purchase order/shop work orders, order and notify sales person, and productions manager

**Request production schedule for all project orders which consist of**:

- Casting due dates, machining dates, test/assembly dates & ship dates
- All production schedules should be expedited weekly
- Notify customers of orders sitting in will call
- File all closed/shipped orders
- Obtain missing information from customer and update in the system.

**Quotes**
- Receive RFQ's & drawings from customers and potential customers.
- Gather and print a reports of previous prices from price list.
- Place reports, drawings, and RFQ's in Quote request file and give to sales.
- Receive completed Quote request file, type up, print and file Quote.
- Record quoted prices in price list

**Expediting & invoicing**
- Provide packing lists, tracking info, invoices, MTR’s, weights & dimensions, etc. for your sales rep and /or customers.
- Enter prices in price list for future quotes
- Contact customers to confirm shipping instructions.
- Produce all shipping documents, contact logistics, freight or courier service.
- Follow up with shipping and courier companies
- Offer additional assistance to sales rep when work load allows.
- Do customer collection calls, maintain a record of conversations.
- Assist Controller with month end, & fiscal year end reports regarding sales and open work orders
- Maintain neat and organized work station.

**Knowledge, Skills and Abilities**
- Energetic, self-starter with ability to adapt to change in a highly dynamic work environment
- Outstanding written and verbal communication, presentation and time management skills
- Microsoft Office proficiency
- Sage software knowledge and asset
- Ability to manage multiple competing priorities, and work effectively
- Develop strong product/price knowledge as well as customer knowledge

**Education and Qualifications**
- High School Diploma.
- 3 years’ A/R experience preferred.

**Job Types**: Full-time, Part-time, Permanent, Internship / Co-op
Part-time hours: 20-40 per week

**Salary**: $17.00-$22.00 per hour
