**Your Role**

The Special Events Coordinator works in partnership with the Event Operations Manager to maximize business revenues through account management and event execution for both internal and external events.

The coordinator works with 15 Gateway Sites as well as external clients to develop /coordinate well executed events that meet their goals and objectives. This position coordinates the administrative process, production schedules, floor plans, checklists, correspondence, creativity, and all details to complete a well executed event.

**What You Bring**
- Requires a minimum education of a University degree or College diploma in Event Management, Marketing, Tourism or Business or a combination of related education and 1-3 years of event planning experience.
- Must have a valid driver’s license and have access to a vehicle and appropriate insurance for the purpose of using it for work.
- Must possess an ability to obtain and communicate accurate information with meticulous attention to detail
- Must be organized and able to effectively prioritize tasks and meet deadlines under pressure and mínimal supervision
- Excellent communication skills, both verbal and written
- Sound mathematical skills and analytical skills
- Proven high level of Customer Service
- Excellent time management, can handle multiple responsibilities and working in a team environment
- Must be able to maintain a flexible work schedule which includes some weeknights and weekend assignments

**Key Responsibilities**
- Support the Event Operations team in respect to event preparation activities such as event profile, budget, timelines, event schedule, floorplans and all aspects of the event.
- Researches and presents revenue driving ideas to sites for consideration/shares best practices
- Conceptualize, develop, and adhere to effective timelines and schedules. Confidently delegate and negotiate with other departments and outside vendors
- Assists the client, site/and or department to plan and execute their event based on their expectations while working within their budget
- Liaison between internal departments (sites), Management and client.
- Performs site inspections, meets with the clients and upsells where opportunity allows
- Chair or co-chair departmental meetings and take/distribute meeting minutes
- Supports in creating event file details through Event Profile
- Books venues, outside vendors and liaison for community-based events
- Supports events with entering WRIKE orders for creative requirements
- Prepares documents as a communication tool between client and site - contract, BEO and payments.
- On-site event responsibility to oversee events including liaison with client, set-up/tear downs requirements and marketing needs.
- Follow up calls/meetings with clients and or site for post event analysis, ROI and re-booking opportunity
- Keeps work areas clean and free of safety hazards, debris, and litter.
- Perform all job duties in a safe and responsible manner.
- Adhere to departmental quality standards.
- Perform other related and compatible duties as assigned

- Works with frequent distractions/environmental/stimuli/interruptions
- Must be able to work all shifts, weekend, holidays, and special events as needed
