Order Administrator

Looking for a permanent part time position?
This is a remote position, but you must live in Metro Vancouver.
**Job Description**:
Key Responsibilities:
- Order Processing: Receive and review incoming orders, verify accuracy, and process them in a timely manner using our internal systems.
- Order Tracking: Monitor order status and proactively communicate with relevant stakeholders to ensure orders are processed and shipped according to schedule.
- Inventory Management: Coordinate with the inventory team to ensure sufficient stock levels to fulfill orders, and update inventory records as necessary.
- Customer Communication: Serve as a primary point of contact for customers regarding order inquiries, updates, and issue resolution. Provide exceptional customer service at all times.
- Documentation: Maintain accurate and up-to-date records of all orders, including order details, shipping information, and payment status.
- Billing and Invoicing: Generate invoices, process payments, and reconcile discrepancies as needed.
- Shipping/scheduling Coordination: Coordinate with logistics partners to arrange for timely shipment of orders, ensuring compliance with shipping regulations and customer requirements. Work with Scheduling team to ensure resources are arranged on specific dates.
- Quality Assurance: Perform quality checks on orders before shipment to ensure accuracy and completeness.
- Process Improvement: Identify opportunities for process improvement and efficiency gains within the order administration function, and collaborate with cross-functional teams to implement solutions.
- Reporting: Generate regular reports on order status, processing times, and other relevant metrics to support decision-making and performance evaluation.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- Proven experience in order administration, customer service, or a related field.
- Proficiency in Microsoft Office Suite and order processing software.
- Experience with a CRM program
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to multitask and prioritize tasks effectively in a dynamic environment.
- Familiarity with inventory management practices and shipping logistics is a plus.
**Job Types**: Part-time, Permanent
**Salary**: $20.00-$25.00 per hour
Expected hours: 20 - 30 per week
