Job Summary
Working under general supervision, the CSFS HR Administrator is responsible for managing the effective and efficient day-to-day administrative operations and human resource activities within the Centre for Sustainable Food Systems (CSFS), including the UBC Farm. This position works with all areas within the CSFS to implement “best practices” for internal policies and UBC human resources policies, procedures and practices.
Organizational Status
Reports to the Faculty’s Director, HR & Administration and works closely with the CSFS Directors. Works with CSFS Program managers and administrative staff, as well as LFS administrative, HR and finance staff. May be in contact with UBC Human Resources, Financial Operations, and other agencies and co-supervises one administrative staff. Acts as the CSFS resource person and liaises with program participants, volunteers, visitors, and other UBC units/departments as appropriate in providing advice and guidance to faculty, staff and students on all administrative and HR matters which relate to the CSFS.
Work Performed- Manages the day-to-day administrative and human resource activities of the Centre for Sustainable Food Systems including recruitment, orientation, appointment extensions, payroll inquiries, discipline, terminations and interpretation of collective agreements and policies.- Supports the operationalization of strategic goals for the CSFS through implementation and evaluation of administrative program and policy development, proper HR management and procedures, internal controls, best practices, etc.- Develops and maintains partnerships with programs within CSFS in order to provide advice into their strategic business plans by participating in the review of organizational structures, reclassifications, performance and change management issues and conflict resolution opportunities.- Advises and trains Program Managers regarding appropriate recruiting practices and human resource aspects of routine change management issues. Ensuring best practices for CSFS to maintain equity and consistency and alignment with UBC’s established benchmarks, policies and procedures regarding staff and student appointments.-
- Oversees the onboarding and offboarding of staff and students at the CSFS/Farm in coordination with the HR/Finance Assistant and Site Services Coordinator and develops and maintains the CSFS orientation manual.- Manages the staff performance management process; Promotes and creates an environment of continuous coaching, feedback and development; provides advice and consultation to managers on how to conduct performance reviews for individual performance goals as well as management of employee performance concerns; ensures corresponding salary (probation, MPI, merit, step) increases are processed in a timely manner.- Coordinates return to work processes in conjunction with the Return to Work & Accommodations Advisor to develop action plans to accommodate an employee returning to work, providing advice to the Centre including meeting with employee, Return to Work & Accommodations Advisor and union representatives to facilitate a successful gradual return. Complex duty to accommodate cases will involve consultation with LFS HR.- Manages leave management activities such as maternity, parental, medical and unpaid leaves as well as reduced appointments and secondments for staff.
