Ajax, Canada Psychological & Counselling Services Group Full time

This position may be out of our Whitby or Ajax location.

Reporting to the Manager, Client Services, the Reception/Office Assistant performs office management, reception and administrative duties to ensure that all clients receive a helpful and professional response at all locations. The Reception/Office assistant maintains efficient operation of the agency’s offices for clients, clinicians and management.

**Responsibilities**:
Client Services/Reception
- Manage difficult client situations and request assistance from a manager for crisis and higher risk situations as needed
- Process client fee payments, ensuring secure handling of payments. Follow up as requested with outstanding amounts owing.
- Provide support to clinicians including preparing and sending letters
- Assist as back up for Intake as requested.
- Assist with client administrative tasks including reminder phone calls, incoming mail, faxes, documents, filing important documents, photocopying and meeting schedules
- Maintain the appearance, order and security of the office and reception areas
- Respect the dignity, confidentiality and privacy of clients

Office Administration/Management
- Be familiar with opening and closing procedures of all locations, and comfortable performing said procedures individually
- Provide general administrative support in communications; including marketing, IT, research, and data/information gathering.
- Assist with agency events and special projects (including social events)
- Be familiar with office Health and Safety and follow all Agency Policy & Procedures.
- Monitor office supplies and restock as required.
- Provide training to staff and interns in respect to office procedures and client services, as directed by the Manager, Client Services.

Data Entry and File Management
- Assist in the maintenance of client record filing system
- Input client and service activity information on the computerized case management system (OWL), confirming and cross-checking information where possible
- Assist with preparation of statistical reports by gathering relevant data
- Close client files on computerized case management system, and file hard copy in a secure manner

Qualifications:

- Post-secondary education in a related field
- Minimum 2 years administrative experience, ideally in mental health / medical practice
- Knowledge and competency in the use of office equipment and office procedures
- Knowledge in basic counselling skills and/or crisis intervention an asset

**Job Types**: Part-time, Permanent

Pay: From $17.50 per hour

Expected hours: 15 - 30 per week
