*Job Overview*

*Legal Assistant - Legal Secretary Duties*
- Act as the board meeting recording secretary at future committee meetings, and perform in the same role for past meetings based on recordings
- Draft, produce and finalize formal business meeting minutes and maintain transcripts from video-conference recordings on a routine basis
- Prepare executive finance meeting agendas, manage documents, and ensure the smooth functioning of hybrid events
- Manage and organize legal documents using MS Sharepoint
- Proofread legal documents for accuracy and completeness
- Book travel: airfare/ flights, hotel accommodation and ground and transport
- Process and manage expense claim reports
- Maintain multiple calendars and schedule time-sensitive and large-scale quarterly and annual meeting appointments
- Provide high-level administrative support with professionalism and excellent etiquette
- Communicate in writing with executive board members, external suppliers, upper-level management, and internal stakeholders
- Assist in systems implementation including research, drafting, and writing presentations
- Assist with clerical tasks such as data-entry, catering, digital filing, printing etc.
- Support supervisor in project management and coordination

*Qualifications*
- Proven experience as a Legal Secretary, Legal Assistant, Paralegal or similar role
- Proficiency in executive board meeting terminology, procedures, and documentation
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills (English and French)
- Familiarity with digital tools and systems is preferred
- Ability to handle confidential information with integrity and discretion
- Demonstrated ability in proofreading and attention to detail
