The Office Administrator role is a dynamic position with multiple disciplines, supporting tow companies. This role will be split 50/50 between GDI and Ainsworth. A general overview of the roles include:

Responsibilities:

  • Cultivate a culture that promotes inclusion, innovation, productivity, and collaboration.
  • Build strong relationships, listen intently, and utilize clear & transparent communication.
  • Responsible for all reception duties to assist in the efficient running of the office
  • apply exceptional interpersonal skills by professionally and warmly greeting each visitor as they come through GDI/Ainsworth's doors
  • Apply superior telephone and email etiquette while receiving and directing incoming calls, messages, and emails, performing this with a high degree of accuracy and efficiency
  • Ensure the functional operational flow of the office, including office supplies, kitchen supply, vendor management, etc.
  • Liaise with answering services to ensure all messages are received and forwarded in a timely and accurate manner
  • proficiently process daily, weekly, and monthly administrative procedures related to general office duties
  • An active contributor to the office culture and key contributor to the social club
  • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations
  • Perform other duties as assigned by Management
  • Office First Aid & HS&E knowledge is required

Accounting:

  • Provide in depth support to the finance & service departments
  • Support accounting department with invoicing, collections, and billing
  • Cheque deposits and mailing
  • Billing and collections with external clients and vendors
  • Filing employee records and invoices
  • Payroll assistance with password resets and general questions
  • Complete and return government remittances as well as any calls for employment confirmation.

Qualifications & Experience:

  • To be qualified as a suitable candidate, you must possess the following:
  • Minimum 2 years’ experience working in an administrative position
  • High School graduate, post-Secondary education preferred.
  • Intermediate knowledge of accounting & accounting systems
  • Experience working with Great Plains software would be an asset.
  • Proficient computer efficiency
  • Solid and effective verbal and written communication skills
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize, and work under pressure
  • Proficient with switchboard systems, and has a proven capacity to learn new programs and processes with extreme efficiency
  • Strong work ethic and positive team attitude.
  • Professional, friendly, exceptional interpersonal skills
  • Able to effectively communicate both verbally and in writing.
  • Sound analytical thinking, planning and prioritization skills.
  • Effective attention to detail and a high degree of accuracy.
