POSITION DETAILS

Title: Operations Coordinator

Type: Full-time

Location: Toronto, ON (in-person at our Brampton warehouse)

Start Date: August 2024 (flexible start date based on candidate availability)


PRIMARY RESPONSIBILITIES 

Order Processing and Fulfillment:

  • Process orders, submit invoices, and coordinate on-time fulfillment of purchase orders for retail partners including Whole Foods, Detox Market, Well Canada, and others.
  • Communicate promptly with retail buyers and the Three Ships sales team about shipping timelines, delays, and inventory shortages.
  • Enter orders for indie retail accounts into the system as required and ensure timely delivery of orders, coordinating with warehouse teams.
  • Monitor Inventory Management System to ensure accurate flow of data and perform manual adjustments as required.
  • Assist with the management of EDI systems including processing of orders, submission of ASNs, and creation of invoices/carton labels.


Warehouse Management:

  • Oversee the in-house pick + pack, and assembly team, ensuring timely and organized fulfillment of Canadian e-commerce orders.
  • Implement processes to minimize order mispicks, improve efficiency, and ensure finished products are leaving the warehouse following the FIFO method, using batch documentation.
  • Manage and maintain warehouse supplies. Ensure a safe, clean, and organized working environment, overseeing the movement and receipt of goods both in and out of the warehouse.
  • Assist with the design and optimization of the warehouse layout for maximum efficiency and space utilization based on inventory trends and company growth.
  • Oversee and perform monthly cycle counts and stock adjustments to maintain accuracy of inventory levels in our Inventory Management System


Logistics Coordination:

  • Communicate with and oversee smooth operations with our US-based 3PL partner, including expediting orders, and creating and monitoring inbound and outbound shipments.
  • Coordinate shipments with freight forwarders and manage the transfer of inventory from Toronto to our US 3PL location and vice versa. Coordinate local LTL freight as necessary.
  • Liaise with our carriers to track down lost orders and communicate delivery delays to retailers and/or the customer support team.


Support and Collaboration:

  • Analyze and monitor KPIs in preparation for quarterly warehouse meetings.
  • Answer questions for and assist warehouse staff as needed.
  • Perform other tasks as assigned by your manager.


REQUIREMENTS

  • 1-5 years of experience in a project management, operations, or supply chain role.
  • Experience within a product-based industry (beauty, food, fashion, hard goods, etc.) is an asset.
  • Proficiency in Google Suite.
  • Proficiency in Excel.
  • Experience with Shopify, Inventory Management Systems and SPS Commerce are assets.
