The position is based in Ottawa, working a minimum of three days a week (Tuesday - Thursday) in the office located at 180 Elgin St, Ottawa, ON.

Responsibilities

 

Event Planning:

  • Plan and organize events from start to finish according to requirements, target audience, and objectives.
  • Create detailed event plans, including critical paths, timelines, budgets, and resource allocation.

Vendor Coordination:

  • Select and manage relationships with vendors, including caterers, decorators, and audiovisual technicians.
  • Negotiate contracts and ensure vendor deliverables meet quality standards.

Venue Management:

  • Identify and book suitable venues for events.
  • Coordinate with venue management to arrange necessary services and facilities.

Marketing Strategy:

  • Collaborate with Communication teams to create promotional campaigns.
  • Support the Communication Team in the development of key messaging and compelling marketing materials.
  • Develop engaging content to attract and retain attendees.

Audience Engagement:

  • Identify target audiences and develop strategies to engage them.
  • Use data and analytics to understand audience behavior and preferences.

Program Development:

  • Design event programs that are engaging, relevant, and aligned with the organization's goals.
  • Collaborate with speakers, presenters, and performers to develop compelling content.
  • Collaborate with the Communication Team on Scripting

Partnerships and Sponsorships:

o  Identify and secure partnerships and sponsorships to support events.

o  Develop and maintain relationships with sponsors and partners.

 


What You Need to be Successful

 

  • Bachelor’s degree in Event Management, Hospitality, Marketing, Business Administration, or a related field. 
  • 5+ years of experience in event planning, marketing, communications, and program development, preferably within the tourism industry. 
  • Your experience speaks for itself – you have a proven track record of managing successful events, marketing campaigns, and program initiatives. 
  • Your communication skills? Legendary – in writing, over the phone or in person and preferably in both official languages (French and English).
  • You can juggle budgets with finesse, making every dollar stretch without compromising on wow-factor.
  • You are tech savvy, always eager to adapt to new technology.
  • You possess strong negotiation skills; you are a master of the win-win scenario.
  • You have the stamina of a marathon runner and the patience of a saint (trust us, you'll need both).
  • You have an endless supply of creative pixie dust to sprinkle on every event.
