The Canadian Nuclear Association (CNA) is a non-profit organization established in 1960 to represent the nuclear industry in Canada. We promote a strong vibrant and expanding nuclear industry that benefits our members, stakeholders and all Canadians. The CNA’s purpose is to lead and focus dialogue with and among key stakeholders concerning Canada’s nuclear future. To this end, CNA offers a range of services: regulatory and government affairs; research and policy development; advocacy to advance member-relevant interests in the political and public spheres and, programs and external and member communications to support the association’s objectives.

The Opportunity:
Reporting to the Vice President, Regulatory Affairs, Policy & Corporate Events, the Manager, Meetings & Events provides a full range of event planning, management and delivery activities on behalf of the organization to support the CNA annual conferences, meetings, and events. This position requires initiative, excellent organizing and communication skills and attention to detail to plan, coordinate, and organize all aspects of CNA events. This position is responsible for managing one direct report and working collaboratively with our external event planning consultant.

Key Responsibilities:As the successful candidate you will:
  1. Project manager of the CNA’s Annual Conference and Trade Show
    • Assist with the selection of speakers, selection of special programs to implement (i.e. seminars, promotional features, student program etc.)
    • Creation and management of a financial plan on related budget code
    • Execution of a marketing plan for sponsorship and exhibits
    • Management of sponsorship and exhibitor sales
    • Tracking of analytics related to sponsorships, registration, etc. to provide regular reports
    • Delegation of tasks to appropriate CNA staff
    • Seminars are designed by relevant functional area Director
    • Communications and media strategies to involve Director of Communications
    • Certain logistics to be handled by conference contractor and CNA Coordinator and administrative staff
  2. Meetings and Events
    • Oversees the Events Calendar for the CNA.
    • Prepares detailed plans for events/ meetings including timelines, venue options, suppliers, and resources requirements (human, financial and material) for all meetings, summits, seminars, and conferences including international events.
    • Monitor and ongoing evaluation of plans against timelines, budgets and quality requirements to ensure CNA standards are achieved in an effective and efficient manner.
    • Creates and/or coordinates, distributes and ensures the quality of information, marketing materials, brochures and various event related communication. Liaise with print services, web / app designers, translation services to produce quality and bilingual event materials and sessions.
    • Manages meeting and event set up and responds to inquiries and troubleshoots on the day of the meetings/events to ensure they run smoothly.
    • Serves as the primary contact for the CNA in the development and implementation activities for all events. This requires fostering and maintaining strong relationships to facilitate smooth planning, managing and delivery of events.
  3. Leadership
    • Supervision of Meeting and Events Coordinator including assigning work, overseeing expected results and ensuring performance objectives are achieved.
    • Develop, mentor, and retain high-quality, motivated and engaged employees with a strong alignment to the vision and mission of the association and ensure they are able to consistently produce results.
    • Coordinates external service providers contracted to support the CNA events.
Knowledge & Skills Required:
  • An undergraduate degree in business, law, public administration or political science or Post-secondary education in business administration, public relations, marketing, event planning or related field.
  • Minimum of 5 years’ experience in planning and executing events.
  • Solid project management skills and ability to forecast, monitor and manage standard project budgets.
  • Demonstrated skill in managing sensitive situations and delicate negotiations involving multiple stakeholders.
  • Ability to facilitate meetings with members, conduct presentations and leverage interpersonal skills to put individuals (colleagues or members) at ease.
  • Capacity to liaise with individuals at senior levels of university and national professional organizations or institutes.
  • Previous experience in sustainability, associations, or similar roles would be considered an asset.
Personal Attributes:
  • Pro-active self-starter with the ability to work independently and as part of a team environment, with equal ease and minimal supervision.
  • Excellent time management skills and the ability to prioritize work.
  • A strong multitasker with demonstrated ability to balance multiple priorities.

The following attributes are considered an asset:
  • Proven experience in program coordination and membership relations support in a non-profit or trade advocacy association.
  • Working knowledge of French.
Working Conditions:
  • The successful candidate is expected to work/live in the Ottawa and/or surrounding area.
  • Work is hybrid, with a minimum of 2 days per week expected in the CNA office in Ottawa, and the other time working in a home office environment. This may change in the future to more than two days per week.
  • May be expected to travel outside the Ottawa area on a regular basis to attend meetings with other member companies, attend events or conferences, or regulatory meetings.
  • During travel, working conditions will be restricted to safe and comfortable offices and/or tradeshow/conference venues.
  • Some local, provincial, or national travel between the CNA’s client sites or stakeholders may be required. Some international travel may be required occasionally.
