We seek a dedicated running enthusiast to join our team as an Event Coordination Specialist.

Role Overview:
As the Event Coordination Specialist at Run Ottawa, you will be instrumental in the planning, execution, and overall success of our events. Your key responsibilities will encompass:

Run Ottawa Events:

  • Provide comprehensive support at all Run Ottawa events, including preparatory tasks, on-site setup, event management, and post-event teardown.
  • Oversee Race Registration Software, managing event setup, testing, and closure, alongside volunteer pages and participant communications.
  • Develop and implement all communications within management software.
  • Handle reporting for green bibs and charitable contributions.
  • Manage volunteer registration and maintain effective communications.
  • Assist the marketing team with graphic design feedback, new marketing initiatives, and communications.
  • Collaborate with charity partners to fulfill their event requirements, offer on-site assistance, and finalize donation processes.

Ottawa Race Weekend:

  • Craft and distribute race registration emails.
  • Oversee the Ottawa Kids Marathon School Program.
  • Create volunteer pages, manage communications, and evaluate volunteer needs based on participant numbers.
  • Facilitate communication with the Race Committee, ensuring they have the necessary volunteer numbers, supplies, and resources.
  • Provide fundraising support to charity partners and create storytelling opportunities with participants and/or charities.
  • Develop marketing strategies for fundraisers.
  • Manage the VIP Finish Line Tent, including staffing, budget, setup, and guest list management.
  • Coordinate VIP arrivals, manage itineraries, and ensure all their needs are met on-site.
  • Set up the media room and oversee media requirements.
  • Manage hotel and food & beverage needs for the Elite Program.
  • Handle group requests and race requirements, including those from charity, corporate, and high school groups.
  • Assist with the Health and Fitness Expo, including vendor support, stage scheduling, media accreditation, and launch media conferences.
  • Manage presenters, starters, and finishers.
  • Provide support to media at the finish line.
  • Oversee credential management for staff, contractors, suppliers, VIPs, and others.

Candidate Profile:

  • A genuine passion for endurance sports, particularly running.
  • An active participant in running events.
  • Extensive experience in event management and volunteer coordination.
  • Exceptional task management skills and meticulous attention to detail.
  • Personable and outgoing, with strong interpersonal abilities.
  • A degree in Sport Management, Physical Education, Kinesiology, or a related field.
  • Bilingual proficiency in French and English is an asset.
