Duties and Responsibilities:


Reporting to the Director of Undergraduate Recruitment, with minimum supervision, the Admissions and Recruitment Coordinator is responsible for administering the day-to-day operations of the Front Counter in service to prospective students and their families.

Responsibilities include supervising the full-time administrative staff and part-time student staff, coordination of the work, team development and workload coordination, and conflict resolution to ensure the efficient delivery of services to prospective students and their families.

Working with established guidelines, the incumbent ensures that service standards are being met.

The incumbent provides advice and support in all aspects of service to prospective students and their families through email, phone, in-person and online, including ensuring consistency of messaging.

The incumbent must have knowledge of current university software applications, systems and databases and office software to perform client service duties and support office-wide undergraduate recruitment initiatives.

The incumbent liaises with Admissions Services, performs all duties of the Admissions and Recruitment Assistant position as part of the shared duties and performs other duties as requested.

Qualifications:

The incumbent must possess the following qualifications:

  • The work requires a strong knowledge of the University procedures, undergraduate programs available and admissions policies and procedures and the undergraduate recruitment and admissions cycle, a firm grasp of office procedures.
  • Excellent interpersonal, writing and organizational skills, an ability to communicate, verbally and in writing with faculty members, students, parents, guidance counsellors and the general public.
  • The incumbent must have the ability to problem solve and work with minimum supervision and be highly motivated to carry out the duties of the job.
  • Knowledge of current university software applications, systems and databases and office software is required.
  • The duties of the position are complex and independent action and creativity are required. The incumbent responds to the more difficult and complex inquiries referred by staff and other departments as well as the general public.
  • As the team lead for the front counter, the incumbent oversees the daily schedule of staffing and ensures coverage for annual and sick leave and addresses any concerns regarding punctuality.
  • The supervisor must work the operating hours of the office 8:30 a.m. to 4:30 p.m. to fulfill this role.
  • The wide variety of supervisory and administrative duties encompassed by this position demand leadership skills, professionalism, quick judgment, initiative, sensitivity and tact.
Education and Experience:
The above is normally acquired through the completion of:

  • 3 year undergraduate degree or equivalent
  • 5 years progressively more responsible administrative experience, including 2 years in a post-secondary Admissions/Recruitment environment
  • Supervisory skills are required
