Job Title: Executive Assistant

This is a hybrid work opportunity that requires a highly organized and detail-oriented individual to provide operational and administrative support to our Head of Customer Management and other executive team members.

Key Responsibilities:
  • Provide confidential support to assigned executives, including maintenance of calendars, preparation of agenda and documents for meetings, and coordination of travel arrangements.
  • Manage relationships with internal and external stakeholders to provide general information and answer questions related to various functions of the line of business.
  • Review, analyze, and create business reports.
  • Organize travel and ensure all aspects of domestic/international travel work seamlessly from start to finish.
  • Oversee the approval of department expenses, including the review of employee expense claims for accuracy and adherence to policy.
  • Transcribe and draft correspondence and prepare documents for signature.
  • Effectively manage executive requests and correspondence with a high level of professionalism, accuracy, and confidentiality.
  • Prepare and distribute internal communications to staff regarding important memorandums, upcoming events, or general updates.
  • Assist with the creation and preparation of slides, proposals, onboarding decks, including proofreading and copying/binding.
  • Perform additional duties as assigned.
Job Qualifications:

We are looking for a highly skilled and experienced Executive Assistant with a strong background in administration and a proven track record of providing exceptional support to senior leaders.

  • High School Diploma or Equivalent and 5 or more years of experience in the administrative area OR College Diploma and 3 or more years of experience in the Administrative area.
  • Minimum of 5 years' experience as an Executive Assistant in a highly demanding work environment. Prior experience working in a multinational organization is an asset.
  • Strong organizational and time management skills with the ability to plan, organize, and schedule work effectively, managing competing priorities to meet deadlines.
  • Excellent verbal and written communication skills, with the ability to relay and clarify information tailored to specific situations and audiences.
  • Strong interpersonal skills and political acuity to build relationships with a range of stakeholders and proactively identify issues for executive discussion and consultation.
  • Ability to handle sensitive and confidential information with discretion, maintaining a professional demeanor and interacting effectively with individuals at all levels of the organization.
  • Ability to work independently, take initiative, and anticipate the needs of the executive.
  • Flexibility and adaptability to changing priorities and demands.
  • Proficient in using productivity tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Bilingual (English and French) is an asset.
