Job Summary
We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our senior leaders at The Toronto-Dominion Bank (Canada). As an Executive Assistant, you will be responsible for providing a range of administrative and general workplace support to our executives, including calendar management, travel coordination, expense processing, and meeting coordination.
Key Responsibilities
- Manage complex calendars for multiple leaders, including scheduling meetings, appointments, and travel arrangements.
- Coordinate travel arrangements, including booking flights, hotels, and rental cars, and troubleshoot any issues that may arise.
- Process expenses for teams, ensuring timely completion and accuracy.
- Assist in coordinating in-office or virtual meetings, townhalls, or offsite events, including booking meeting spaces, agenda development, technology setup, and event day troubleshooting.
- Maintain confidentiality and handle sensitive information with discretion.
- Apply due diligence and attention to detail to complete ad-hoc administrative tasks, such as reports, invoices, communications, tables, charts, and files.
- Inform immediate team regularly on project status and relevant information related to day-to-day activities.
- Provide vacation/temporary coverage for colleagues and support additional leaders as needed.
Requirements
- High school diploma with over 5 years of relevant experience.
- Extensive knowledge of Microsoft Office Suite and internet applications (Outlook, PowerPoint, Word, etc.).
- Ability to work independently as well as part of a team, with flexibility to coordinate processes and information across related teams.
- Ability to collaborate with other Executive Assistants/Administrative Assistants, internal and external partners.
- Ability to think strategically and multi-task while meeting conflicting deadlines.
- Experience coordinating travel arrangements and comfortable managing frequent changes.
- Strong organizational skillset to manage accountabilities while simultaneously managing leaders' administrative requirements.
- Excellent communication skills, with the ability to listen actively, ask questions, and communicate effectively.
- Ability to efficiently interpret company policies and help executives apply these standards in a fast-changing environment.
- Strong judgment skills to support initiatives and apply discretion when working with confidential information.
