The Ministry of Natural Resources is seeking an organized and detail-oriented Administrative Assistant to support Section level operations, activities, and project initiatives within the Policy Division.
Job SummaryThis is an exciting opportunity to join our team as an Administrative Assistant, providing administrative services to support the day-to-day operations of the Policy Division. As an Administrative Assistant, you will be responsible for coordinating logistical arrangements, providing financial administration, and supporting the section in ensuring records are properly managed.
Key Responsibilities- Coordinate logistical arrangements for meetings, stakeholder events, and sessions
- Provide financial administration and processing, including reviewing expense claims and entering invoices
- Assist in the administration, processing, and tracking of section human resources information/documents
- Prepare requests for information technology assets and email accounts
- Format and prepare a range of documents, including correspondence, reports, and proposals
- Support the section in ensuring records are properly managed and saved in accordance with approved records retention protocols
- Process incoming and outgoing mail, and courier packages
- Provide support on special projects and assignments
- Provide backup support to other Administrative Assistants within the branch and across the division
- Administrative knowledge, including experience working with records and human resource documents
- Financial knowledge to support financial administrative services
- Excellent communication and interpersonal skills, including the ability to respond to general inquiries and provide information with tact and diplomacy
- Ability to work effectively as part of a team
- Strong reasoning and organizational skills, including the ability to determine priorities and respond effectively to fluctuating work-load demands
- Excellent judgement and attention to detail, including the ability to review and proof-read documents for accuracy and completeness
- Proficiency with computer programs, including Word, Powerpoint, and Excel
- Ability to operate and provide basic maintenance of standard office equipment
