JOB SUMMARY

The Fleet Asset Management Administrator is responsible for the administration of the Fleet Maintenance Management System (FMMS) and the Telematics System. The FMMS focuses on the maintenance and repair of fleet vehicles and manages schedules for routine maintenance, inspections, and repairs, ensuring that vehicles are safe and operational. The Telematics System includes management of fleet vehicles and equipment, daily work requests and preventative maintenance schedules on fleet related vehicles and equipment for Hydro Ottawa.

MAJOR RESPONSIBILITIES

  • Responsibilities include the administration and maintenance of Hydro Ottawa's fleet systems, including maintenance schedules, compliance and licensing, drivers, reports and dashboards and the support and data management of the integrated telematics system.
  • Maintain accurate records of hydro utility fleet assets, including specialized vehicles, machinery, and equipment.
  • Monitor and report on the lifecycle of hydro assets, from acquisition through maintenance to decommissioning.
  • Track and renew subscriptions for fleet diagnostic software.
  • Monitor specific regulations related to fleet management and asset maintenance to ensure regulatory compliance, vehicle licensing, permits and insurance certificates are up to date.
  • Comply with all safety and Commercial Vehicle Operator (CVOR) requirements.
  • Generate regular reports on fleet performance, maintenance activities, and costs.
  • Provide insights and recommendations for optimizing asset utilization and compliance.
  • Identify opportunities for process improvement within fleet services.
  • Implement best practices to enhance the efficiency and effectiveness of both tools.
  • Communicate effectively with internal stakeholders, including managers, field crews, and other relevant departments, to address concerns and ensure smooth operations.
  • Administer the preventative maintenance schedule for all fleet vehicles and equipment on a monthly, quarterly and annual basis, and maintain record history.
  • Receive, validate requests for fleet services through the fleet management FMMS tool. Create and pull reports using the FMMS and Telematics system (GeoTab).
  • Maintain the Fleet telematics (GeoTab) and ensure it's organized and all data sets are accurate, up to date and compliant (ex. Fleet user groups, new drivers, vehicle locations and CVOR compliance).
  • Create, maintain and report on Fleet dashboard metrics.
  • Assist in the development, implementation, and improvement of fleet policies, processes, and procedures.
  • Troubleshoot any issues with vendors of both systems.
  • This position is responsible to provide back up to the Administrative Assistant, Fleet during absences.
  • Perform other related duties as assigned.

EDUCATION AND EXPERIENCE

  • Post secondary education in business administration, data management or related field
  • Minimum 5 years' experience working in an asset administrator role.
  • Or University Degree and 3 years of experience in an asset administrator role.
  • Experience with fleet management software and telematics platforms (Geotab), including set-up and day-to-day operations.
  • Knowledge of fleet, parts management and safety is considered an asset.
  • Knowledge of fleet compliance legislation is considered an asset.

ADDITIONAL REQUIREMENTS

  • Valid Driver's License - Class G
  • Successful completion of Driver Competency Assessment
  • English essential; both oral and written
  • Bilingualism (French/ English) is considered an asset

Please note that the compensation grade rating for this position is under review.

The terms and conditions of employment for this position are governed by the collective agreement between Hydro Ottawa Limited and IBEW Local 636.

Hydro Ottawa offers a Hybrid Work Model. Hybrid work is position specific, the details of which the hybrid model will be discussed with successful candidates.
