As an Executive Assistant, you will act as a key partner and ally to two Senior Vice-Presidents in carrying out diverse functions to help reach business line objectives while optimizing their time.


This position offers you the opportunity to interact confidentially with several of the Bank's key internal and external stakeholders, including the Board of Directors, senior management, and many teams across the Bank, as well as the regulator, financial analysts, and investors.

Your role

Support the Senior Vice-President, Investor Relations and more specifically:

  • Assist and offer support in the administrative organization of the unit and to team members
  • Provide logístical support in organizing a significant number of external meetings with the Bank's main institutional investors
  • Update internal and external corporate PowerPoint presentations (in French and English)
  • Work with various other assistants to coordinate events
  • Optimize the use of existing technological tools and provide advanced technical support in compiling the unit's information/statistics and updating its web pages
  • Coordinate team members' business travel related to the unit's activities

Support the Senior Vice-President, Internal Audit and more specifically:

  • Coordinate quarterly/committee meetings, internal meetings, and ensure administrative follow-up (documentation, mailings, etc.) and provide administrative support to various external boards of directors
  • Write, translate, and revise internal and external communications
  • Coordinate travel and business trips and prepare expense reports and bill payments
  • Take charge of various internal requests and act as a resource person (activities related to requests from IT, HR, etc.)
  • Work with the team to help improve administrative functions and internal processes

Required skills

  • A threeyear vocational program or college diploma or academic equivalent in a related field
  • At least five (5) years of relevant experience as an assistant
  • Excellent knowledge of the Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and various collaboration tools
  • High level of professionalism and confidentiality
  • Excellent analytical, judgment, and leadership skills
  • High level of autonomy, initiative, attention to detail, and sense of urgency
  • Very good organizational skills for prioritizing and multitasking in a very dynamic work environment
  • Good teamwork and collaborative skills
  • Good interpersonal skills (people skills and clientcentric approach)
  • Bilingualism spoken and written, (English/French) is essential because you'll regularly do business with Englishspeaking partners

Preferred skills

  • Experience as an assistant to members of senior management
