School Secretary.

Job Summary


As the school secretary, you will be responsible for maintaining student records, welcoming school visitors, interacting with students and parents, transferring calls, mailing forms, and handling any day-to-day clerical needs required by the school.


Responsibilities:

  • Mail student report cards, school brochures, and other necessary forms.
  • Welcome visitors to the school and provide directions around the building as needed.
  • Sort and distribute mail delivered to the school office.
  • Contact parents in the event of student illness or behavioural issues.
  • Use a computer database or filing system to maintain and update student records.
  • Provide administrative support to the principal or other upperlevel administrators as needed.
- serve as a central information point to the public, students and staff regarding school-related matters and procedures.

  • Answer incoming calls, provide information, direct calls where necessary and take messages.
  • Operate office equipment including fax machines, copiers, scanners, and printers.
  • Track inventory and order supplies.
  • Coordinate and monitor safety procedures for the purpose of ensuring the safety of students and staff.
  • Receipt and deposit all monies collected from staff.
  • Provide staff and stakeholders with accurate information regarding school operations.
  • Operate electronic mail systems and coordinate the flow of information internally and externally
- prepare a variety of documents including correspondence, agendas, event programs, reports, schedules and calendars.

  • Attend office meetings and take minutes.

Job Skills & Requirements

  • A high school diploma is required.
  • Previous work experience in an office setting is preferred.
  • Demonstrates strong interpersonal skills.
  • Maintains a professional and friendly demeanour.
  • Possesses excellent organizational and planning skills including the ability to maintain an effective balance between multiple and competing priorities.
  • Is capable of managing time efficiently.
  • Proficient in spelling, punctuation, grammar and other English language skills.
  • Possesses excellent telephone etiquette.
  • Confidentiality, integrity and adherence to ethical standards.
