The Opportunity

We are looking for an accomplished Executive Assistant to the Global Head of Fund Services and Deputy Global Head of Fund Services. This position will provide the successful applicant with a unique opportunity to gain exposure to the inner workings of a global financial services firm, at the highest level.

As part of our Montreal team you will:

Deal with logistical and administrative matters for our senior executives – including calendar management and travel planning;Represent our senior executives in communication with internal and external parties;Prepare office-wide (or firm-wide) written communications / presentations on behalf of the executives;Draft minutes of global meetings and calls;Prepare reports in collaboration with other business functions (e.g. Finance, Human Resources, Marketing);Manage contract, expense and other approvals on behalf of the executives in accordance with policies and procedures;Prepare virtual and physical meeting spaces for important internal and external meetings;Assist marketing and business development teams, as needed;Assist with the training and induction of certain high-profile new employees;Manage/coordinate special projects and events (e.g. major social events, large working sessions, client functions); andGuard matters of a highly sensitive and confidential nature

What You Bring

The Executive Assistant must be highly organized, available and able to quickly respond to critical situations and needs, which may be outside of regular business hours. This is a demanding role that requires consistent execution on a high volume of work with precision and timeliness.

This position is highly visible within and beyond our office, and the executive assistant must be a culture carrier that behaves in a way that is consistent with the values of our firm and its leaders.

In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses the following:

University graduate with an excellent academic background, and about 5 years of relevant experience as an executive / administrative assistantExcellent verbal and written communication skills;A high degree of professionalism, attention to detail, mature business judgement, and extreme professional discretionThe ability to withstand the pressure of intense situations and a fast-paced environment(Fluency in English is required.)

Le poste

Nous recherchons un adjoint de direction accompli chargé de soutenir le responsable mondial des services aux fonds et le responsable mondial assistant des services aux fonds. Ce poste offrira au candidat retenu une occasion unique de se familiariser avec les rouages d'une entreprise mondiale de services financiers au plus haut niveau.

En tant que membre de notre équipe de Montréal, vous veillerez notamment aux activités suivantes :

Traiter les questions logistiques et administratives pour nos cadres supérieurs, y compris la gestion des calendriers et la planification des voyages.Représenter nos cadres supérieurs dans la communication avec les parties internes et externes.Préparer des communications écrites ou des présentations à l'échelle du bureau ou de l'entreprise pour le compte des cadres.Rédiger les comptes rendus des réunions et des appels internationaux.Préparer des rapports en collaboration avec d'autres fonctions de l'entreprise (par exemple, finances, ressources humaines, marketing).Gérer les contrats, les dépenses et autres approbations au nom des cadres conformément aux politiques et procédures.Préparer les espaces virtuels et physiques pour les réunions internes et externes importantes.Aider les équipes de marketing et d'expansion des affaires, au besoin.Contribuer à la formation et à l'intégration de certains nouveaux employés de haut niveau.Gérer et coordonner des projets et des événements spéciaux (par exemple, les événements sociaux importants, les séances de travail de grande envergure, les fonctions liées aux clients).Protéger les renseignements liés à des questions très sensibles et confidentielles.

Votre contribution

L'adjoint de direction doit être très organisé, disponible et capable de répondre rapidement à des situations et des besoins critiques, pouvant se présenter en dehors des heures de bureau habituelles. Il s'agit d'un poste exigeant qui nécessite l'exécution constante d'une charge de travail élevée avec précision et rapidité.
