Job Summary


Under the guidance and direction of the Managing Director, the Program and Administrative Assistant is responsible for supporting the construction and training program while performing the day-to-day administrative functions for our Sudbury office.

This position provides confidential and non-confidential administrative, clerical, and reception support for the organization while assisting the Program Coordinator and Construction Manager in ensuring the smooth operations of the Sudbury office.


Responsibilities

  • Maintenance of physical and electronic filing systems including Google Drive;
  • Contribute to teamwide communications and knowledge management, and participate in weekly meetings including taking minutes and disseminating them to relevant staff;
  • Assist with social media accounts and communications planning;
  • Occasional scheduling of meetings;
  • Provide general office admin support in researching, and routing correspondence; drafting letters and documents; collecting and analyzing information;
  • Order, pick up and deliver construction and program materials as directed;
  • Maintain office supply inventory;
  • Assist with the presentability of front entrance of the building, reception and waiting areas;
  • Other duties as assigned

Required Qualifications

  • Postsecondary education is an asset
  • Reliability and organizational skills a must
  • 12 years of relevant experience
  • Valid G Driver's license and clean driving record
  • Demonstrated ability to work independently with mínimal supervision
  • Strong initiative; selfstarter
  • Excellent communication (oral and written) and time management
  • Critical thinking and problem solving skills
  • Excellent computer skills including Microsoft Office & G-Suite
  • Experience in the nonprofit sector an asset
  • Experience working in or alongside the Trades an asset
  • Passion for the community and the affordable housing movement required
