Working for the Department of Ophthalmology and Visual Sciences
The Department of Ophthalmology and Visual Sciences consists of over 40 ophthalmologists who work as physicians and surgeons and have teaching appointments with the Faculty of Medicine and Dentistry.
Research takes place within a highly collaborative environment for both fundamental and translational research and builds on inter-departmental strengths in neurobiology, developmental biology, vascular biology, and molecular genetics of vision.
Working as an Executive Assistant
Provides administrative support to the Academic Department Chair.
This position is responsible for ensuring an efficient and effective day-to-day flow of operations and internal communications within the department.
Duties
- Acts as a central contact for the department.
- Manages calendar and meetings for the Department Chair.
- Prepares and distributes agendas and meeting minutes for the departmentwide and committee meetings as well as specialty division meetings as required in consultation with meeting lead.
- Coordinates weekly grand rounds and CME evaluations.
- Prepares documentation for annual CAC and FEC appointment/performance cycles.
- Maintains electronic filing records.
- Assist with onboarding of new staff and faculty.
- Updates content on the department website.
- Assists with the development of internal communications such as distributions lists, newsletters, announcements and display boards.
- Assists with internal events such as Research Day and Rounds.
Qualifications
- High school diploma and Office Administration Certificate.
- 3 years of progressive administrative experience.
- Computer proficiency in a Windows environment using MS Office, Google Suite, and Zoom.
- Strong communication skills and attention to detail required.
- Excellent interpersonal skills coupled with problem solving skills; effectiveness working independently or cooperatively as a team member.
- Adaptable and flexible in a changing environment with competing priorities.
- High level of tact and discretion; maintain and ensure absolute confidentiality.
