The Officer Corporate Correspondence writes and edits responses to correspondence from elected officials and external customers on a wide variety of topics and issues, principally for the signature of the President, Chairman, Minister and senior executives.


Responsibilities:

Below are the main job requirements and responsibilities for the Officer Corporate Correspondence.

  • Assesses, researches and generates appropriate responses to correspondence addressed to the President, Chairman, Minister and senior executives from elected officials, customers, unions, and employees to resolve written enquiries within established standards. Edits correspondence prepared by other functions for the President's, Chairman's or senior executives' signature.
  • Generates reports and monitors the status of all correspondence cases. Determines and identifies sensitive issues requiring immediate action. Summarizes requests from the President, Chairman and senior executives to other senior executives/functional representatives and follows up on action to be taken.
  • Maintains awareness of corporate policies, projects, positions, and of government policies. Works with appropriate functions to create corporate positions and ensure consistency in corporate messages. Makes recommendations for corrections and improvements in services or policies.
  • Identifies existing and emerging problems, issues and trends to advise and/or respond to the needs of other functional areas to protect corporate image and business.

Job Responsibilities (continued):

  • Contributes to other functions' shortterm or ongoing projects to respond to urgent issues, changes in public opinion and changes in policies or services. Prepares briefings for departmental executives, committees, and other functions.
  • Develops and provides training for the coaching and development of new writers, Canada Post contractors and representatives from other functions to ensure corporate standards are maintained in responding to external customers. Regularly reviews the correspondence prepared by new writers and other functions to ensure the standards are maintained.
  • Prepares purchase orders and contracts and prioritizes, coordinates, and monitors the work of contractors/suppliers to ensure agreedupon services are delivered within approved funding.

Qualifications:

Education

  • Completion of postsecondary (College/University) courses in a related field such as Communications or English Literature.
  • Master's degree in English, English Literature or Communications would be an asset.
Experience

  • 13 years of related work experience in a correspondence service environment or a creative writing/communication service environment is required.
  • 13 years of related work experience in an issues management environment.
  • 13 years of related work experience working closely with leadership at all levels (ex. senior executives).
  • Superior written communication skills as evidenced by success on the qualifying examination administered by the Corporate Correspondence Service.
  • Sound judgment and diplomacy in dealing with sensitive and confidential issues
  • Proficient computer skills and competent with Microsoft Office programs.
  • Strong organizational, prioritization and timemanagement skills.
  • Good interpersonal skills.
  • Team player who is also able to work in an autonomous setting
  • Strong oral and written communication skills.
