**Position

Located within the Office of the Dean in the Faculty of Engineering, the EA supports the Dean's executive leadership team.


Reporting to the Executive Coordinator to the Dean, and working closely with the Dean's executive leadership, the Executive Assistant is responsible for providing administrative support for the Dean, the Vice Dean, and the FGM.

The EA provides coverage for the Executive Coordinator to the Dean and for the EAs that support the Associate Deans.


This position requires a solid understanding of the University structure, general academic programming, governance, administration, and operational needs, as well as excellent communication and organizational skills.

This position requires the abilities to work both independently and as a team member, innovatively problem solve, troubleshoot in the moment, prioritize multiple tasks, and manage expectations - at times under challenging time constraints.


Duties

Provides administrative support, including the following:

  • Drafts agendas for meetings/committees in consultation with the leaders
  • Plans and schedules calendars based on consultation with the leaders, resolving calendaring conflicts as they arise
  • Ensures the leaders have appropriate background/briefing materials for each meeting
  • May act as recording secretary for area/program meetings
  • Books travel and prepares expense claims
  • Plans, coordinates, and assists with the preparation of events; acts as the onsite pointofcontact for various events and meetings
  • Compiles and summarizes information for inclusion in reports
  • Receives visitors, guests, and dignitaries on behalf of the leaders
  • Responds to inquiries and determines appropriate action required
  • Works on various projects as required
  • Other duties as assigned
**Minimum Qualifications

  • Diploma (Preferably a diploma program in business administration)
  • 23 years of progressively responsible operational support experience supporting leaders at the executive level, preferably in a postsecondary setting
  • Demonstrated proficiency with Google Workspace, MS Word, Adobe Acrobat, large organization ERP (preferably PeopleSoft)
  • Demonstrated ability to develop and maintain positive, professional, and collaborative working relationships with all stakeholders at all organizational levels
  • Demonstrated ability to effectively engage and communicate with stakeholders from a wide variety of backgrounds
  • Demonstrated ability to work independently and collaboratively
  • Demonstrated ability to manage time and workload effectively and meet deadlines
  • Demonstrated ability to work with large unionized public sector and or postsecondary academic organizations
