  • Reporting to the Assistant Chief of Operations, the Assistant FDM Roster Coordinator assist with all scheduling of the daily duty rosters for the 4 platoon shifts for Stations 2 18, 28, 45 and 58 and day work platoon shifts at the Composite Stations utilizing the FDM Roster Module. This position is accountable for the generation of time sheets for Payroll, overtime calls in, and processing overtime requirements to meet the daily shift complements. This position is responsible for the processing of vacation and shift exchanges and ensures the accuracy of all payroll related information prior to the processing of the payroll. The Assistant FDM Roster Coordinator provides support to the assigned District Chiefs and Acting District Chiefs in shift management.
  • DUTIES AND RESPONSIBILITIES:
  • Maintains the operation of the FDM Roster and is responsible for daily duty assignments for the platoon and day work schedules, ensuring staffing requirements are met under the supervision of the District Chief.
  • Support accurate recording of hours and vacation selections into FDM each year to generate roster assignments. Assist with the annual vacation pick process.
  • Processes all leave request forms for Training Leave, TOIL, Union Leave, shift exchanges, vacation exchanges, etc. Ensures they are in compliance with departmental policy and the Collective Agreement for approvals.
  • Fulfills requests from District Chiefs for specialized operators such as technical rescue, water, and HazMat responsibilities are staffed appropriately each shift.
  • Communicates with personnel and station officers to advise of reassigned personnel and other staffing information.
  • Prepares duty roster for following shift day and weekend shifts and posts to Internet via the Contribute Program for staff information.
  • Updates overtime lists, contacts off duty personnel to arrange overtime shifts, records personnel acceptance, refusal and explanations and updates roster daily.
  • Calls additional personnel if members go home sick or are absent on an approved unscheduled leave during the 24hour shift and 10.5hour shifts.
  • Calls off duty personnel for backfilling as required and adjusts roster accordingly
  • Supports the creation of Daily Time Sheets submitted to Payroll by checking Daily Reports against Duty Roster and for followup with Captains, District Chiefs regarding LTD, OJI, TOIL, suspension, modified duties and other leaves.
  • Processes all requests for overtime payment and banked overtime by reviewing the roster and Overtime Slips submitted and approved by the District Chief.
  • Supports preparation of acting pay for Spare Engineers, acting Captain assignments and credits time to ensure accurate payment.
  • Accountable to District Chiefs and Acting District Chiefs for all approvals involving overtime requests, leave requests, etc. using tact, judgement and maintaining a high level of confidentiality.
  • QUALIFICATIONS
  • Education and Experience:
  • Grade 12 and a diploma in secretarial or administrative training from a recognized educational institution
  • 2 years of experience on rostering and scheduling of staff or perform administrative functions in a fastpaced environment.
  • Technical / Job Specific Knowledge and Abilities:
  • Experience and knowledge Emergency Services
  • Experience in the administration of a Collective Agreement, will be consider as an asset
  • Proficient in the use of computer related software (ie: FDM, MS Office suite)
  • Demonstrated Organization and attention to detail skills
