Sensity seeks an experienced
Payroll and Benefits Administrator for an immediate opening for a full time role.

Reporting to our Chief Financial Officer, join our committed team in providing a broad range of services to a dynamic group of leaders and staff.


This position, based in Paris, ON, and administers the accurate processing of all employee payrolls and processing of the administration of the benefits, health spending account and RRSP program to ensure financial operational efficiency within the agency.

This position also supports the Chief Financial Officer with the preparation and compilation of reports.

Essential Position Functions:

  • Accurately calculates and processes biweekly payroll transactions in a timely fashion for hourly and salaried staff.
  • Maintains the HRIS payroll system ensuring that pay rates are accurate.
  • Calculates and prepares monthly payments for WSIB and EHT, prepares employee RRSP contribution deductions, yearend report preparations and edits and processes T4s and other tax forms.
  • Ensure WSIB (WCB) and Employer Health Tax (EHT) annual returns, T4's etc. are accurately completed and submitted within timelines.
  • Calculate, deduct, remit and report statutory deductions, benefit deductions, and courtordered deductions within set timelines and in compliance with applicable regulation.
  • Accurately maintain payroll records in compliance with governing standards.
  • Maintains employee status changes, address changes, bank account changes within the payroll system, and processes Records of Employment (ROE).
  • Tracks employee probationary periods as they relate to enrolment in the group benefits plan and provide eligible employees with a comprehensive benefits enrolment package.
  • Administer the Health Benefits and Group RRSP on the benefit portals, process employee information as it relates to enrolment, changes in employment status, termination, leaves and changes to pay rates.
  • Advises supervisors and managers as to whether employees have sufficient entitlement for vacation requests and ensure that all required staff approvals have been actioned in the HRIS payroll system, and that all vacation balances are accurate.
  • Prepare and track payrollrelated accruals and review payroll summary sheets, ensuring accuracy.
  • Communicate new updates regarding payroll and benefits and respond to employee inquiries in a timely manner.
  • Trains supervisors and managers on payroll processing system according to their job requirements.
  • Resolves payroll discrepancies by collecting and analyzing information.
  • Works closely with payroll system provider to address software issues and implement resolutions.
  • Prepare employment verification letters when requested.
  • Performs other duties, as required.

Qualifications:

  • Postsecondary education and diploma in payroll administration, finance, and/or benefits administration (or equivalent). Payroll Compliance Practitioner (PCP) designation is an asset.
  • 35 years experience in payroll, finance, and/or benefits administration.
  • Basic knowledge of Ontario Payroll legislation and applicable laws and regulations.
  • Working knowledge of payroll / Canada Revenue Agency (CRA) legislation, payroll calculations and Ontario employment standards is required.
  • Advanced communication skills (oral and written) to interact tactfully, professionally and effectively with a wide range of internal and external stakeholders, including employees, people supported and community partners is required.
  • Ability to work independently and as a member of a team.
  • Solid time management, attention to detail and organizational skills. Adaptable and flexible with an ability to respond to changing work priorities, pressure and demands.
  • Proficiency with MS Excel and experience with payroll and benefits administration systems and processing ROE's are assets.
  • Solid time management, record keeping, attention to detail and organizational skills.
  • Knowledge of the nonprofit sector is an asset.
