Bookkeeper/Office Administration

**Overview**:
As a Chillin' Buds Bookeeper and Office Administrator, you will play a crucial role in ensuring the smooth and efficient operation of the retail store. Your responsibilities will encompass a wide range of administrative and clerical tasks to support the overall functioning of the organization.

**Key Responsibilities**:

- **Bookeeping Support**:

- Strong Knowledge of Quickbooks
- Accounts Payables, Receivables
- Regulatory Reporting (HST Filing, Payroll, ROE) & Other
- **Administrative Support**:

- Provide general administrative support within retail store
- Manage and maintain office supplies, equipment, and facilities
- Update Policies & Procedures
- Project Management as needed
- Maintain Employee Files
- Reporting Analysis
- Plan Customer Appreciation Events
- Overseeing Inventory Management
- E-commerce product verification
- Manage Customer Returns with government
- Assist in weekly orders with government
- Other administrative duties as assigned
- Promote the Chillin' Buds Brand
- **Data Management**:

- Organize and maintain electronic and paper filing systems.
- Input, update, and manage databases and records.
- **Scheduling and Coordination**:

- Manage Weekly work schedule for each store
- Manage calendars through Google Calendar
- Coordinate travel arrangements and accommodations as needed
- **Reception**:

- Greet and assist visitors in a professional and courteous manner.
- Manage the reception area and ensure a tidy and welcoming environment.
- **Financial Tasks**:

- Process and record invoices, expenses, and other financial transactions.
- Assist in budget tracking and financial reporting.
- **Event Planning**:

- Assist in the planning and execution of company events and staff weekly meetings.
- Coordinate logistics, catering, and other event-related tasks.
- **Human Resources Support**:

- Assist in the onboarding process for new employees.
- Maintain employee records and assist with HR-related tasks.
- **Technology Proficiency**:

- Proficient use of office software (e.g., Microsoft Office Suite, Google Suite, ).
- Basic troubleshooting of office equipment and liaising with IT support when necessary.
- **Ad Hoc Tasks**:

- Handle various ad hoc tasks and projects as assigned by management.
- Adapt to changing priorities and take on additional responsibilities as needed.

**Qualifications and Skills**:

- High school, College or University diploma or equivalent;
- Strong Knowledge of Quickbooks and understanding of accounting principles
- 5+ years of experience in Bookkeeping
- Proven experience in an administrative role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Detail-oriented and able to work independently.
- Ability to maintain confidentiality and handle sensitive information with discretion.

**Job Types**: Full-time, Fixed term contract

**Salary**: $18.00-$27.00 per hour

Expected hours: No more than 44 per week
