The Role:
AMS, a leader in Talent Acquisition and Workforce Management is seeking an experienced Sales & Proposal Coordinator to join our talented Global Bid Team.
The successful applicant will support with the administration aspects of fast turn-around opportunities; helping to create and coordinate high quality submissions to win business across the service-lines and geographies AMS operates in.
Key Accountabilities:
- Supporting the Proposal Manager in coordinating the proposal kickoff meeting, project plans and response templates as well as scheduling and facilitating ongoing proposal coordination meetings.
- Responding to standard company questions, using, updating and customizing content sourced from key boilerplate / bid library materials
- Maintaining an uptodate library of content, including key company stats, personnel resumes and client information
- Document control activities such as downloading proposal files from client portals, managing client portal passwords, uploading content and overall maintenance of internal proposal files, as required.
- Formatting written and presentation documents
- Conducting desktop research on identified prospects / clients / key stakeholders
- Using a variety of company reports to extract and summarise accurate information in support of proposal activities
- Support clarifications and postbid submission requirements.
- Searching our extensive bid library to source supporting material
- Coordinate with crossfunctional teams to gather information and data necessary to prepare proposal
- Implement and monitor the proposal process and contribute to continuous improvement processes across the team
- Support in onboarding new team members and recruitment, upskilling and development of junior team members
Skills & Experience:
Essential Requirements:
- Demonstrated experience in sales / proposal coordination
- Confident communicator at all levels
- Advanced skills in Microsoft packages (Word, Excel, PowerPoint)
- Exceptional attention to detail and ability to multitask
- Capacity to work effectively with deadlines and shorttime frames in highpressure environments.
- Proofreading, editing and formatting skills
- Proven ability to interrogate/interpret & present data
- Deadline, strong timemanagement, organization and prioritization skills
- Selfstarting, motivated, resourceful and positive
- Willingness to own problems and take responsibility for delivery
- Demonstrable ability to manage a team to deliver operational excellence
- Driven to develop and improve process efficiency
- Able to work in a team environment and collaborate on assignments
- Must have the ability to identify, separate and delegate work tasks and prioritize them in relation to the overall proposal production activity and deadlines
Desirable:
- Prior experience of working in a Staffing or Resourcing environment
- Knowledge of Project Management principles such as Prince
- InDesign/Creative Suite skills is added value
