How you'll make a difference:

Leadership and People Management:

  • Lead, coach and direct the Administration Team; ensure ongoing communication and clarity to support a flexible, adaptable team
  • Be a resource to the Administration Team and provide backup coverage, as needed
  • Collaborate with Studio Administrators across the practice to share knowledge and build relationships with key people and teams across the organization


Studio Operations: Develop effective and efficient administrative protocols understanding how systems, processes, and teams work together Ensure that we are presenting our studio in the best possible way to our internal team and external visitors; provide a concierge experience for clients that is reflective of Canada's preeminent design practice Work closely with the Studio Operations Manager, People & Culture and Technology teams for workspace movement, equipment changes and onboarding, etc Assist the Studio Operations Manager in managing the operating budget, reconciling corporate credit cards and processing operations invoices

DIALOG Culture: Plan and execute internal and external events representative of a destination employer As part of the Health and Safety Team, actively promote a culture of safety and security, helping to ensure that DIALOG is wellpositioned to respond to any emergency In keeping with DIALOG's commitment to sustainability, look for opportunities to partner with the Green Team to implement green initiatives in the studio
Who you are:

  • 5+ years of experience in an Executive Assistant or Office Manager role
  • Postsecondary education in a related field, or strong employment experience (extra points if you've managed a creative studio before)
  • Experience leading a team
  • Ability to maintain composure while managing multiple tasks in a fastpaced, timeline driven environment with rapid changes and shifting priorities
  • Excellent organization and time management skills
  • Ability to proactively make decisions and priority calls with little guidance
  • Excellent verbal and written communication skills
  • Comfortable working as part of a team or independently
  • Fluent in Microsoft Office products

Vaccination Declaration and Status:


Vaccination against COVID-19 may be a future requirement if this role is to visit any client worksites or other places requiring vaccination or to attend certain company functions.
