Position Summary:


Under the supervision of the CFI Project Lead, the Project Administrator provides efficient and effective administration in support of the pan-Canadian group within the international nEXO research project.

The incumbent will be responsible for the day-to-day administrative and financial aspects of the project to ensure project milestones are met and that all financial transactions are within budget.

The incumbent will also provide a liaison function with various stakeholders to achieve project objectives.

Primary Responsibilities:

  • Act as a liaison between the international nEXO project, CFI, vendors.
  • Monitor project status and activity progress according to schedule and address delays.
  • Assist in the preparation of reports and provide updates to project and leadership teams, and funding agencies.
  • Accurately monitor the costs, budget, revenues, and expenditures. Ensure CFI contributions and financial records are up to date.
  • Assist in the preparation of budgets including tracking inkind contributions from vendors and from international partners.
Assist with procurement of complex scientific equipment while ensuring compliance with funding regulations and project requirements:

  • Support the preparation of documents for procurements
  • Organize meetings for procurements and institutional buyers
  • Oversee requests for information and change control process through large procurements
  • Provide support and coordination with the hiring of external contractors
  • Track established project objectives and monitor the project quality standards to ensure they are met.
  • Act as a resource person and answer projectrelated queries.
  • Establish and foster effective working relationships by identifying needs and providing support in project delivery.
  • Organize and participate in meetings throughout different stages of the project. Take minutes and follow up on actionable items.
  • Perform other administrative related duties as assigned by the supervisor
Other Qualifying Skills and/or Abilities

  • Experience working in a university environment an asset. PMP designation and project management experience are strong assets. A selfstarter with leadership and excellent communication skills, who enjoys working in a team environment. Demonstrated experience working with budgets and monitoring expenses. Demonstrated organizational skills and ability to multitask and able to prioritize and meet frequent deadlines. Proficiency with Microsoft Office, Excel, Word, Outlook and MS Project. Experience with McGill Marketplace and Minerva are an asset. Must have a good understanding of the academic research environment. Knowledge of French and English. McGill University is an Englishlanguage university where day to day duties may require English communication both verbally and in writing.
