Role Description

This is a full-time on-site role for a Sales Administrative Assistant at KUUS Inc. in Scarborough, ON. The position will be responsible for providing administrative assistance to the sales team, handling customer service inquiries, communicating with customers, and performing data entry tasks. Speaking French is not required but is a strong plus.


Key Responsibilities:


Bilingual Proficiency:

  • Asset: Fluency in both French and English.

Sales Support:

  • Dispatch updated product information to accounts and sales representatives.
  • Assist in preparing purchase contracts with clients, vendors, and suppliers.
  • Support external sales representatives in account management and territory growth.

Administrative Skills:

  • Good literal and verbal English skills.
  • Intermediate level in Excel; PowerPoint; basic photo editing skills or willing to learn basic photo editing skills.
  • Basic accounting knowledge.
  • Familiarity with any accounting software

Organization and Planning:

  • Demonstrate proficiency in planning and organization tools.
  • Prioritize tasks, set and meet deadlines effectively.
  • Work collaboratively within a team environment.

Reports and Presentations:

  • Prepare sales and accounting reports.
  • Present findings and updates in meetings with the management team.

Financial Management:

  • Understand and maintain pricing and sales terms to client accounts.
  • Responsible for approving credits, discounts, and invoices for account receivable entry. Which requires attention to detail.
  • Review accounting payment/ account program terms, volume rebates, and procedures with clients. Which requires attention to detail.

Inventory Management:

  • Analyze production schedules, current inventory, and expected new inventory.
  • Assist in overseeing the purchase department for the procurement of inventory.

Customer Service:

  • Respond to inquiries from customers, retailers and distributors.
  • Establish and maintain positive relationships with clients.

Shipping Coordination:

  • Coordinate with the warehouse manager to establish shipping schedules for orders.

EDI Platform Knowledge:

  • Not mandatory but must be willing to learn the platforms.
  • Familiarity with EDI platforms, e.g., SPS Commerce, retail link.
  • Ability to download purchase orders, acknowledge them with relevant details.


Qualifications:


  • Previous experience in a sales administrative or support role.
  • Strong communication skills in English. French is an asset.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, etc).
  • Basic understanding of accounting principles.
  • Familiarity with EDI platforms is a plus.
  • Highly organized and detail-oriented.
