Position: Claim & Documents Specialist

Reporting to: Supply Chain Manager

Location: Mississauga, Ontario

Who We Are: Carrier Enterprise Canada (CEC) is a national distributor of residential and light commercial Heating, Ventilation and Air Conditioning (HVAC) and refrigeration products, parts and supplies through licensed HVAC/R dealers and contractors. CE operates primarily in the business-to-business environment where its products are sold through licensed HVAC dealers and HVAC contractors. These dealers are independent companies that sell, deliver and service Carrier, Bryant & Payne products to residences and businesses in their respective markets. CEC offers customers a wide range of HVAC/R product lines, competitive pricing, best-in-class customer service and valuable, time-saving services that positions CEC as an industry leader. With 36 locations in Canada and over 150+ locations, in 28 states, Puerto Rico, the Caribbean, Latin America, Mexico, there is a location to service our customers HVAC/R needs.

We are currently accepting internal and external applications for the Claims and Documentations Specialist.

Duties and Responsibilities

The Claims & Documentation Specialist - assist with operational tasks related to processing vendor shortage claims, damage claims, and vendor or customs import/export documentation. This role will provide essential support to ensure timely and accurate processing of claims of these docs.

  • Process shortage claims for RC, Factory, and 3rd party vendors, collaborating with relevant teams to resolve issues.
  • Research invoice numbers, pull necessary documentation and process claims online and maintain a detailed claims log.
  • Assist with damage claims to reduce backlog, allowing the team to focus on other critical tasks.
  • Provide invoices and other information verification to Expeditors for Low Value Shipments
  • Researching and verifying tax codes for new vendor parts
  • Prepare documentation for export returns and import of special orders (e.g., D2D shipments).
  • Maintain organized records of shipment documents and freight claims.
  • Collaborate with team members to address outstanding issues and ensure accuracy in documentation and timely claims processing.
  • Provide timely progress updates

Who you are:

  • Experience with vendor claims processing and related administrative tasks is preferred.
  • Strong sense of urgency, attention to detail and ability to manage requirements of the role effectively
  • Good understanding Microsoft Office
  • Excellent communication and interpersonal skills, with the ability to work independently in most circumstances, with minimal supervision.
  • Strong collaboration skills to work with other departments.
  • Ability to multitask and manage priorities effectively.
