Who We’re Looking For 

We’re searching for an Office Administrator to be the backbone of our day-to-day operations. This role is perfect for someone who thrives on organization, enjoys problem-solving, and is eager to contribute to the success of a fast-growing team. You’ll play a vital role in finance, billing, user support, office management, and more – keeping our operations running smoothly while contributing to a positive experience for our team and users. 

You’ll thrive in this role if you’re excited about: 

  • Finance Operations: Handling bookkeeping, payroll, invoicing, and reconciliations to keep our financials on track. 
  • Billing: Managing claims, corrections, and consult payments with accuracy and efficiency.  
  • User Experience: Supporting physician onboarding, outreach, and ensuring a seamless user experience. 
  • Office Management: Coordinating team schedules, managing supplies, and overseeing logistics like travel and conferences. 
  • Problem-Solving: Tackling challenges proactively and improving processes as we grow. 


Key Responsibilities 

  • Manage day-to-day bookkeeping, including payroll, invoices, and reconciliations. 
  • Oversee billing activities, including claims input, corrections, and rejections. 
  • Support user onboarding and address inquiries to enhance user experience.  
  • Maintain smooth office operations, including scheduling, supplies, and new employee setup. 
  • Organize travel arrangements and conference logistics for the team. 


Skills and Experience 

  • Proven experience in an administrative, bookkeeping, or operational role. 
  • Familiarity with QuickBooks Online or similar accounting software is an asset. 
  • Strong organizational and time management skills, with a keen eye for detail. 
  • Excellent communication skills and a proactive approach to problem-solving. 
  • Medical office experience or familiarity with payroll systems, health benefits, and billing processes is an asset.
