Accounting Administrator

Theadditional duties will include tracking and categorizing spendingbuilding relationships and liaising with suppliers implementing newrecord keeping functions assisting the Project Estimating staffwith rate data entry and otherduties.

Salary:$62000 peryear
Hoursof Work: Monday to Friday 8:30am 5:00pm(FullTime)
Responsibilities:
- Receivingcoding and entering invoices maintaining electronicdatabase.
- Verifying rates againstquotes contracts and POs.
- Pairingwith field documentation and circulating forsignatures.
- Making adjustments asrequired from circulation.
- Verifyingaccuracy of AP entries including weekly spot check on entry dataand project allocations scanning for duplicates as well as monthlyreview of expense chart ofaccounts.
- Liaising with supplier toensure all required documents for processing payments are on handincluding WSIB Form1000 and Certificates ofInsurance.
- Verifying HST accountsand maintaining supplier accountrecords.
- Processing paymentruns.
- Managing credit requests andapplication to invoices.
- Requestingand maintaining supplierstatements.
- Reconciling corporatecredit cards and processing expenseforms.
- Managing online accountaccess to supplierwebsites.
- Collecting EFT paymentinformation and maintainingdatabase.
- Liaising with field stafffor missingpaperwork.
- Administrative filing forpayables and proper document and recordkeeping.
- Responsibility for the overallefficient operations of theoffice.
- Monitoring timesheets andincome bills.
- Updating both paperand electronic customer files and databases ensuringaccuracy.
- Reviewing time and datamanagement ensuring optimalutilization.
- Daily handling of phonecalls emails mail andcalendar/schedule.
- Additional tasksasrequired.
Requirements
- Minimumof 13 years of Accounts Payableexperience.
- Previous constructionindustry related experience is a strongasset.
- Full cycle accountingknowledge is an asset.
- AdvancedQuickbooks and Microsoft Officeproficiency.
- Independent andselfmotivated (quiet and independent workenvironment)
- Highlevel of attention to detail combined with strong organization andproblemsolving skills.
- Above averagedata entry and computerskills.
- Reliabilityand dependability is a must.
- Abilityto work well underpressure.
